We are looking for a Purchasing and Operations Coordinator who will support and aid in maintaining an efficient and productive supply chain & procurement process that meets all stakeholders’ requirements. This role will also support lab organization, receiving deliveries, shipping and Laboratory management within Tropic.

**Job Purpose**

As a Purchasing and Operations coordinator, you will be responsible for managing the procurement process for the organization, while ensuring the smooth operations of the day-to-day business activities in the laboratories. You will be responsible for liaising with suppliers, vendors, and internal stakeholders to ensure that products and services are purchased, sourced and delivered in a timely manner and within budget. You will also be responsible for tracking inventory levels, ensuring that the company's assets are properly maintained and that all operations are in compliance with regulatory requirements, acting as a point of contact for routine issues and problems that occur within the laboratories. Independent judgment is required to plan, prioritize, and organize a diverse workload.

**Responsibilities**

Procurement (60%)
- Be responsible for general procurement for Tropic’s teams.
- Liaise with the logistics team to organise product distribution and deliveries ensuring our product inventory is at healthy levels across the board at all times.
- Ensure that all customer orders, queries, etc. are processed in a timely manner and efficiently as possible.
- Issue and receipting of purchase orders, manage the procurement process from initial request to delivery, reconcile invoices with finance, and communicate schedules/requests to requesters and suppliers.
- Ensure that all documentation and records are accurate, up-to-date, and in compliance with organizational policies and procedures.
- Participate with supply chain process improvement and identify improvement opportunities.

Operations (40%)
- Partner with Tropic’s teams on stocking, cleaning, and organization of laboratory areas.
- Provide Tropic’s teams with a day-to-day point of contact for issues within the laboratories.
- Point of contact for discussions between groups to resolve issues between groups around shared spaces or change of processes.
- Co-ordinating the overall health and safety compliance strategy, PPE compliance, participating in service audits and supporting with COSH and risk assessment documentation.
- General facility/operations support knowledge and flexibility to jump in and support the team where needed.

**Requirements**:
Essential
- 2-3 years of experience working in either a similar role or a regulated (laboratory/manufacturing) environment, ideally with exposure to at least one of the following:

- Procurement/ purchasing
- Operations management
- Laboratory support
- Following SOPs
- Excellent communication and interpersonal skills, with the ability to build relationships with internal and external stakeholders.
- Exceptional time-management and organizational qualities to ensure all deadlines are met and responsibilities are completed on time.

Desirable
- Technically proficient in matters concerning some of the following: operation, support and maintenance of laboratory equipment, mechanical systems, electrical systems, maintenance systems and processes in laboratory setting.
- Proficient at collecting, analysing and understanding data. Use of techniques and methods to present data in a format that promotes effective, and evidence based managerial decision-making.
- Full training will be provided so whilst some experience is desirable, it’s not essential. We welcome applicants from a variety of backgrounds/ experience levels._
