This role has been created to keep a high standard on the Resource and Reconciliation departments and to build on our current accomplishments.

**Reconciliation**

The Reconciliation department deal with each customers orders once they have been delivered by the driver. There are certain criteria each order must meet before being recognised for invoicing, the Reconciliation team ensure criteria is met and that the unbilled does not exceed 1 million Litres or the order is over 3 weeks old. Strong problem-solving skills are required for this role.

**Resource**

The Resource team are the start of the Scheduling function. The team ensure all the drivers needs are met such as overtime, Holidays and Sickness reporting. The team also must ensure the schedules are built and modified in a timely manner ready for the planners to schedule the work this will mean making sure each driver has a truck and trailer and specific routing requests are added to the drivers shifts and all the fleet maintenance planner / VOR is recorded in the scheduling system to show what trucks are not available for use on specific days. Attention to detail and problem solving are key for this area.

**Operations Support**

During weekends there will be an element of Operations support needed this will consist of customer Service calls, driver calls and system maintenance.

**Responsibilities and Accountabilities**:

- Input Flexi driver delivery details into the system
- Ensure all delivery details are correct.
- Chase any missing delivery documents with remote Flexigrid depots
- Raising Shift Errors with the Logistics Support Team
- Ensure are 3rd party hauliers are inputting the correct data and ensure there is nothing outstanding in the system over 48 hours.
- Resolve any queries from the Greenergy Sales Ledger team.
- Resource Inbox administration support
- Sending delivery paperwork to haulage only customers
- Rectifying any terminal lifting discrepancies and set the order to ready to invoice no liftings should be older than 3 weeks.
- Customer Service out of hours Support
- Driver loading error corrections.
- OFD weekend management
- Greenergy Weekend customer order input
- Customer Tank fault management weekend cover

**Requirements**:

- Proven experience in an office or similar administrative role
- Proficiency in Word, Excel and PowerPoint is desirable
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent data entry skills with a keen eye for detail
- Ability to work independently and as part of a team
- Strong communication skills and professional phone etiquette

Please note this role is site based only with no hybrid or remote working.
