The University Print Studio Assistant is a key, full time role within the Print Studio Team in Shared Services. The primary function of the role is to be responsible for the set-up, draft and general ‘production print’ aspects of customer’s documents and to act as an administrative support to the Deputy & Print Studio Managers.

The role involves taking ownership of University Print Studio work orders and ensuring these orders follow the appropriate process through to completion and billing. This will involve working on reprographics machinery as well as other desk-based activities.

The University Print Studio Assistant will be required to utilise the following computer systems as part of their daily duties:

- Microsoft Office Suite
- Visio
- Adobe InDesign
- Adobe Acrobat
- Photoshop
- Any other specific design/document set up suites as appropriate

General duties are as follows:

- Manage and be responsible for communication for all incoming work to the print studio, keeping to agreed orders time and response times.
- Utilise appropriate systems to configure customer’s documents ready for printing. Produce draft copies where needed and raise any concerns over print format with the Deputy Manager or University Print Studio Manager. Ensure all work is logged on the Planon system so that it can be billed.
- Produce schedule of works for the approval of the deputy print studio manager on a daily basis, taking into account relevant lead times and production time.
- Conduct meetings with customers to discuss and agree their requirements for documents/work orders.
- Act as a first point of escalation for machine faults within the print studio and escalate issues where appropriate to managers and advise on schedule impact.
- Ensure ongoing communication with customers regarding the status of their orders, liaising with the Deputy and University Print Studio Manager as required.
- Maintain customer relationships with key departments and act as a point of contact for customers to discuss new service needs as well as service issues.
- Coordinate and order all relevant consumable for the print studio including operation equipment and materials as well as stock directly linked to products.
- Work with other University teams relating to the production of print materials as well as the delivery and distribution of these works.
- Any other administrative duties as may reasonably be required by the Deputy Reprographics Manager

Essential:

- Knowledge of health and safety procedures
- Excellent attention to detail
- Keen focus on customer service with a positive attitude and willingness to participate in the Departments commitment to Customer Service Excellence

Desirable:

- Experience of Reprographics work
