**Job description**

**Details of the role**:

- Receptionist & Administrator
- 50 week fixed term contract (maternity cover, with the possibility of an extension)
- 37.5 hours per week
- Monday to Friday 8.45am to 5.15pm (ability to be flexible if there is an internal event planned)
- Salary to be discussed at interview
- Reporting to the HR Director

**Desirable criteria**:

- Previous customer service/ client experience
- Previous experience of working with a switchboard
- Is willing to work on a variety of tasks and flexible in their approach to work
- Ability to organise and multi-task
- Ability to work on own initiative
- Professional and well presented
- Ability to carry out research tasks

**Job Duties include (non-exhaustive list)**:

- Provide administrative support to the HR Director and Management Team, when required
- Answer telephone calls, retrieve and forward messages
- Greet and direct visitors upon arrival and departure
- Maintain meeting rooms diary and manage room bookings
- Organised catering for internal meetings, seminars and training
- _Make refreshments for internal meetings, seminars and training_
- Setting up and clearing conference rooms _(for all client meetings, internal and external events)_
- _Keep the downstairs kitchen area clean and tidy_
- Update telephone directories and employee contact information for call lists
- Updating call management provider of any changes with employees
- Deal with all incoming and outgoing post
- Communicate all hand-deliveries to the person they are intended for
- Order supplies for the office to ensure smooth running of meetings rooms
- Document swearing duties - writing receipts, giving change, updating and maintaining the rota
- Organising the reception rota for lunch and annual leave cover
- Opening and locking reception doors and cupboards every morning and evening
- Keep a daily log of employees who are out of office, on annual leave or at court
- Fire safety roll call at meeting point
- Liaise with facilities on any maintenance issues for meeting rooms, downstairs kitchen or reception areas
- Keep a log for the accounts manager on any catering orders
- Take card payments for clients
- Support HR with any required administrative tasks
- Other general administrative duties
