Plymouth Neurophysio & Rehabilitation service are looking for **Therapy service Administrator** to help oversee the everyday operations of our busy and growing clinic and community service (within Plymouth and the surrounding areas).

Plymouth Neurophysio is a leading independent provider of Neurological Physiotherapy, Neuro-Rehabilitation and Therapy services in Plymouth and South Devon & Cornwall. Since 2012 we have been provding specialist Neurolgical Rehabiitation to clients in Plymouth and throughout South Devon and Cornwall. Our skilled and specialist clinical team deliver vital treatment & rehabilitation (at home or in clinic) to individuals of all ages who are living with a neurological condition or who have suffered neurological or other traumatic injury. **Therapy Service Administrator role**:
**Key Roles and Responsibilities**:

- Referral’s coordinator - Respond to enquiries, organise and allocate referrals to the Therapy team. Enter client details to practice management system. Manage waiting list and referrals data base and update client details on Practice Management system.
- Deputise for Clinical Lead when Clnical Lead on leave.
- HR support for the team (assist with annual reviews / professional documentation checks). Assist with team on-boarding and induction. Organise DBS checks for team as needed.
- Carry out some Therapy Assistant work as needed (jointly with Therapists), to include clinic, hydrotherapy and gym sessions (as appropriate).
- Assist with recruitment and induction of new team members.
- Assist with supervision and mentoring of team members (alongside Clinical Lead).
- Assist Accounts manager with invoicing preparation as required (no accounts experience needed)
- Edit and send out clinical reports (written by therapists) to case managers / third parties
- Administrative support for team (with admin / diaries), chasing and organising timesheets / calendar organisation. Assist with chasing reports etc when reports due.
- Assist with Marketing and producing / ordering marketing materials
- Social media / website updates.
- Assist with ideas for business planning and development / strategies / development of service / collaboration opportunities and general brainstorming and ‘bigger picture’’ ideas.
- Assist with computer back up / maintenance and office supplies
- Editing and sending notes to solicitors / case managers
- Therapy room checks and tidying (including equipment). Order supplies as needed.
- Team uniform and PPE orders.
- Send out annual customer service questionnaires and collate feedback.
- Dealing with complaints (with support from Clinical Lead as required)
- Assist with writing company policies and procedures (e.g. health and safety, complaints) and ensure these are updated as required.
- Website management and updates
- Produce client newsletters / blogs for marketing purposes and to keep patients updated on services.
- To undertake 3, 6 and 12 month review with Clinical Lead Physiotherapist
- Audit patient information (e.g. percentages of self-referral / certain conditions etc) as needed.

- Able to work well under pressure and also to use time effectively during quieter periods using own initiative.
- Excellent organisation and planning skills
- Proven strengths in Administration tasks
- Strong IT skills - good working knowledge of Microsoft word, Excel, powerpoint, Teams / Zoom and ability to use and understand our Cliniko Practice Management system.
- Skilled in using Social Media (for promoting PNP)
