Reporting to: Operations Manager and Senior Administrator

**The role**

This is a key role providing leadership and operational support to the clinicians in Oxford City Primary Care services, as well as liaising with GP practices to ensure the services function safely and efficiently. The post-holder will also provide assistance to the Senior Administrator and the Operations Managers within the Services. The successful applicant will be an effective communicator with a background in operational and administrative management. You will need to be organised and have the ability to juggle multiple priorities in a fast-paced environment, bringing an enthusiasm and ambition to the existing supportive team culture. You will have a keen eye for detail to maintain high-quality service delivery, while you work with a range of internal and external stakeholders to get things done.

We currently provide several initiatives across Oxford City, including the Primary Care Visiting Service, Housebound Vaccinations, Social Prescribing, Urgent Care and Enhanced Care. These services are crucial to delivering healthcare to frail and vulnerable patients in an extremely busy and demanding environment. Your role will be vital to ensure these systems function properly to achieve operational success.

In addition to your core role, you may be called upon to support other areas from time to time and will have the chance to be involved in a range of initiatives and training opportunities to help you to develop your skills and career.

**Responsibilities**

**Operations Management**
- Working with the Operation Manager, you will support and assist with the delivery of the services
- Supporting clinicians and workers operationally to enable them to carry out their duties effectively
- Communicate to practices to support, and further the service as well as clinicians
- Contribute to the preparation of compelling, coherent, reports and communication both internally and externally
- Survey patients to assist with quality improvement within the service
- To coordinate, attend and provide administrative support for meetings. To disseminate information from these meetings to others as necessary
- Assist in scheduling staff and inputting rosters, identifying any potential issues.
- Highlight new ways to innovate within the context of the project(s) and services, contributing to the overall thinking in their direction and delivery
- To ensure information regarding unresolved matters is handed over to colleagues
- To attend meetings and training sessions as required
- Ensure that staff have the resources and materials they need to do their jobs effectively
- Any other duties as reasonably required

**Planning and organisation**
- Understand the needs of your staff and ensure you are able and available to support them
- Identify the tools and processes needed to provide a seamless service to staff
- Respond to daily priorities using a range of planned and unplanned approaches that balance internal customers’ individual needs with wider organisational requirements
- Proactively respond to feedback to deliver a high quality, valued service at all times
