The Neurophysiology Department is part of the wider Neurosciences group and is predominantly responsible for diagnostic tests involving assessing the electrical activity in the brain, nerves and muscles. The department performs studies for a wide range of conditions and receives referrals from Consultants within this hospital, and the West Midlands, as well as restricted GP’s services.

The Support Secretary/Receptionist role is a central role within the department, ensuring that comprehensive and confidential administrative and receptionist support is provided for the Neurophysiology Team. Time is spent both on the Reception desk and within the Admin Office providing result reports.

The successful applicant will be an excellent communicator, able to work using their own initiative, with a thorough working knowledge of Microsoft Office packages and experience of working in a busy office environment, dealing directly with members of the public. Good organisational and decision making skills are a must. Experience of hospital patient systems, booking or reporting systems or similar experience would be desirable.

Being able to manage difficult situations effectively is important as well as having an empathetic approach to dealing with enquiries and being able to use tact and sensitivity to establish trust and confidence.

Your time and duties will be split between working on the Reception desk and in the Office,

The role involves direct contact with patients/carers and user of the service, making and re-arranging appointments, greeting and patients and recording attendance etc, creating result documents and providing results for the test undertaken within the Dept and participation in managing of the diagnostic waiting list.

Working hours are 37.5 hours per week, currently Monday - Friday 8:00am -4:00pm with extra support needed some evenings and weekends. Limited working from home may be facilitated, dependent upon staffing levels.

1. Welcome, receive and greet all visitors to the area, providing the first point of direct contact for all service users, resolving routine enquiries and complaints professionally, in accordance with local standards and procedures, and referring other queries to relevant colleagues where appropriate. Rearranging and making appointments as required or requested and ensuring daily cashing up of clinics in a timely and appropriate manner, and responsibility for urgent inpatient referrals which must be undertaken and registered on the same day.

2. To act as the first point of contact to a named consultant or named consultants dealing with their day to day correspondence and their clinical typing. Provide support to the Neurophysiology Service Manager and Clinical Physiologists.
**This will require**: ensuring all enquiries are effectively managed and successfully resolved within a prompt timescale ensuring all relevant personnel are informed as necessary and an appropriate record is maintained. Liaising and effectively communicating at all levels using
written, oral and electronic methods. Using tact and sensitivity to deal with difficult issues as required.
