Working hours are 37.5 hrs per week; Monday, Wednesday, Thursday, and Friday,8:30am to 5:00pm within the Department; Tuesday 11:30am -5:00pm.working from home. This may change to provide cover during holidays and sickness.

The Secretary role is an important role within the department; providing a specialised, comprehensive, and confidential patient centred clinical administration and secretarial service to the Consultants and the Neurophysiology team, performed in collaboration with the Neurophysiology Admin team Leader and wider Admin team.

The Neurophysiology Department is part of the wider Neurosciences group and is predominantly responsible for diagnostic tests involving assessing the electrical activity in the brain, nerves and muscles. The department performs studies for a wide range of conditions and receives referrals from Consultants within this hospital, and the West Midlands, as well as restricted GP’s services.

The applicant should ideally have experience in a medical secretary role, be an excellent communicator, able to work using their own initiative, with a thorough working knowledge of Microsoft Office packages and experience of working in a busy office and dealing directly with members of the public. Good organisational and decision-making skills are a must. Experience of hospital patient systems, booking or reporting systems or similar experience would be desirable.

Being able to manage difficult situations effectively is important as well as having an empathetic approach to dealing with enquiries and being able to use tact and sensitivity to establish trust and confidence.

The role involves direct contact with patients/carers and user of the service, making and changing appointments as well as providing results for the test undertaken within the Dept and participation in managing of the diagnostic waiting list. Supporting the consultants with diary management and special requests regarding patients, along with confidential patient centred clinical administration and secretarial service to the Consultants and the Neurophysiology team performed in collaboration with the Neurophysiology Admin team Leader and wider Admin team.

1. Providing patient centred clinical administration and secretarial service to the Consultants and the Neurophysiology team in collaboration with the Neurophysiology Admin team Leader and wider Admin team.

2. Supporting the consultants with diary management and special requests regarding patients.

3. To act as a senior point of contact to ensure all enquiries are effectively managed and successfully resolved within a prompt timescale, ensuring all relevant personnel are informed as necessary and an appropriate record is maintained. Supervisory responsibilities during absence may be required - working in collaboration with Admin Team leader.

4. To ensure, wherever possible, that all clinical documentation is up-to-date, in an orderly fashion and available whenever clinical decisions are being made, reporting exceptional circumstances where necessary. This will require: effective collaboration with all relevant personnel to maintain an efficient administrative system; prompt transcription, manipulation and distribution of appropriate correspondence.

5. To implement where necessary and maintain an efficient office management system/procedures to enable the consultant and his/her team to optimise their patient care services. This will require: effective management of the consultant’s time, managing schedules and leave arrangements
