An exciting position has become available for a full-time Receptionist / Secretary / Administrator based in Coventry. The company operates from modern, spacious open-plan office accommodation

The purpose of the role is to carry out general reception, secretarial and administrative duties and project a positive and friendly image to our clients and other visitors, either in person or via the telephone

Undertake a variety of administrative duties to assist in the smooth running of the practice; this may include provision of secretarial and clerical support to our staff.

Facilitate effective communication with clients.

**Essential Skills**:
The successful applicant must have the ability to organise their own workload in an efficient manner. They must also possess excellent IT skills; in particular they must demonstrate daily work use of Word and regular use of Excel. Training on other IT programs and in-house systems will be provided.

**Duties and Responsibilities**:

- Processing personal and telephone requests for appointments and visits
- Taking messages and passing on information
- Computer data entry/data allocation and collation; processing and recording information in accordance with firm procedures
- Maintaining and updating database records, monitoring and obtaining client ID records as necessary
- Posting weekly staff timesheets to our time recording system, running time and billing reports as required. Posting and matching sales invoices to our time recording and accounting systems
- Sending out monthly customer statements
- Providing clerical assistance to practice staff as required, including word/data processing, filing, photocopying and scanning
- Updating Excel compliance lists and records, monitoring deadlines and chasing information as necessary so that those deadlines can be met
- Tailoring and sending out our monthly newsletter
- Updating our website as necessary
- Purchase and provision of refreshments for visitors as required
- Keeping the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter
- Monitoring stationery levels and placing orders to replenish levels as required
- Maintaining records of off-site archive storage

**Personal Development**:
The post-holder will participate in any training programme implemented by the practice as part of this employment, such training to include:

- Participation in practice organised training in order to complete the role
- Participation in individual performance reviews
- Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work.

**Hours Worked**:
The position is full time 9am to 5.15pm with a 45-minute lunch break (Monday to Friday)

The position does not allow for remote working

**Salary Guide**:
£19,600-£21K per annum
