As the Administrative Officer you will be responsible for providing high quality technical support and administrative services to the Resident Safety team.

The role will be responsible for providing a range of technical, project and administrative support to Resident Safety, including updating databases and other information in an accurate and timely manner, and maintaining project files of key documents.

Depending on team location, the post-holder will also be responsible for coordinating Fire risk assessor and Health and safety advisers’ appointments, ensuring resources are deployed effectively, or they will be responsible for raising works orders via the relevant software or procedures. The role will also be responsible for updating and maintaining the Shine or SAFe databases.

**Key Responsibilities**:

- To be responsible for raising orders for asbestos or fire safety works systems in accordance with contract documentation, and produce monitoring reports as required.
- To update fire risk assessment and compliance databases.
- To be responsible for coordinating fire risk assessors and health and safety advisers appointments, making the most effective use of resources, and notifying all relevant parties dealing with any appointment changes.
- To input all compliance and health and safety information, e.g. asbestos reports, certification etc, onto the Department’s IT systems, and ensure that these are kept regularly updated.
- To ensure all documentation is filed in accordance with relevant procedures, and assist in updating project trackers and other records as required.
- To monitor correspondence and ensure that corporate response targets are met.
- To organise, attend meetings, take accurate notes and assist in the preparation of reports.
- To work with relevant managers in Resident Safety Teams to produce statistics, monitoring and performance information as required.
- To liaise with contractors and other stakeholders on project related issues,providing all necessary information and support to ensure that service targets are met

**Skills & experience**:

- Experience of using a range of ICT systems to analyse and present
- information to a high standard.
- Experience of the implementation and coordination of a wide range of administrative systems in a public sector organisation.
- Experience of implementing, maintaining and improving systems, procedures and controls to ensure the effective running of the team
- Ability to plan and manage own workload, including ability to act on own
- initiative and meet deadlines.
- Good verbal and written and presentation skills
- Ability to use a range of IT systems
- Ability to liaise with internal and external colleagues and agencies
- Ability to demonstrate a good level of numeracy and analytical skills and interpret and draw inferences from data.
- Proven ability in developing and maintaining a wide range of office systems, ensuring office efficiency
- Ability to communicate effectively at all levels both orally and in writing.
- Ability to develop, implement and improve systems
