JOB SUMMARY:
To contribute to a team responsible for the provision of an efficient, effective, comprehensive, front-line Telecare service, providing information, advice and assistance to service users and other customers or agencies, on the Telecare and out of hours service provided by the Council, by being the first point of contact for calls requiring an action or a visit by the Telecare Officers, other out of hour’s staff or agencies.

To make referrals to other services where the service user’s health or safety may be at risk, and to update the Social Services electronic record system and Jontek system.

Whatever the access channel, to interrogate the computer system and liaise with colleagues, other departments and external organisations in order to assess the information required, and either resolve the caller’s enquiry by giving information and advice or issuing/ completing the appropriate forms and updating the appropriate systems or referring the caller on to the appropriate service as required.

To provide responsive, professional and timely administrative support and advice to services as directed, facilitating the effective conduct of the Council's core business.

To implement and maintain efficient, cost-effective systems for administrative support, adhering to the council’s customer service performance standards and meeting the requirements of service level agreements in all areas of the postholder’s responsibility.

Input, extract and monitor data from relevant IT systems on a regular and ad hoc basis, using statistical techniques to compile and produce reports, graphical information, financial and technical documents as required.

ROLE REQUIREMENTS:
1. Provide a comprehensive range of high-quality administrative and advisory support to services including arranging meetings, filing, word-processing, data entry, document checking and processing for verification purposes, dealing with routine correspondence and telephone contact, booking venues, making travel arrangements, minute-taking and other general administrative duties in accordance with prescribed timescales.

2. Utilise information technology to facilitate the effective execution of duties and responsibilities and assist in training others to ensure effective use of IT systems across the service.

3. Maintain and update databases and case management systems to ensure that records are up to date and accurate, inputting data, extracting information and producing and distributing reports on a regular or ad hoc basis

4. Develop, maintain and review all filing systems (including the management of archived files) to ensure that they adequately meet the changing needs of the organisation and comply with statutory requirements.
