Industry Administration Assistant

An exciting opportunity has arisen within CRN West Midlands for an administrator to support all aspects of the administrative functions for the Industry Team and Join Dementia Research Team who support research delivery in Partner Organisations throughout the West Midlands region. The aim of this additional role is to ensure that enough support is provided across the two teams and ensure that cover and support is provided to other administrators across the team. We are looking for someone who is highly organised, flexible and able to multitask in order to provide efficient administrative service to a large team of staff. The post holder will provide administrative support to the Workstream Leads
and a variety of CRN West Midlands staff. Typing and sending correspondence on their behalf, arranging appointments and providing support to meetings. They are required to be organised and respond well to working as a member of a team. S/he will ensure that the CRN: West Midlands provides a high quality administrative service in order to ensure effective delivery of the critical business support operations of the Network. Please note this post is 'home based' with some requirement to travel to offices across the West Midlands on an ad-hoc basis. (If 'home' is not within the West Midlands region a CRNWM Offce will be allocated as work base)
Act as first point of contact for generic inbox.
Redirecting or taking messages and using initiative to deal with queries where appropriate. Maintain up to date contact lists and distribution groups to facilitate communication across the Network.
Arrange meetings/ appointments for the Workstream Leads and other staff, as required. This will involve managing diaries, clarifying arrangements, collecting/ collating all supporting paperwork and making travel arrangements.
Arrange and provide administrative support for meetings/ training, including minute taking, preparing agendas and follow up actions, compiling and distributing papers, booking meeting rooms and arranging catering, providing travel directions and acting as the first point of contact for members regarding meeting arrangements and attendance. This may require travel to, and attendance at, meetings across the CRN geographical area.
Assist the PA & Administration Manager with the maintenance of office systems and procedures, e.g. central filing systems, locking up procedures and fire instructions whilst working on site
Assist with Procurement of goods and services for the office and maintain paperwork for these.

**Provide support to the CRN**: West Midlands team booking venues for training events, maintaining attendance registers, collating training packs and ensuring various materials (presentations, course materials etc.) are available.
Handle CRN office mail. Sort, distribute and handle incoming mail in a timely and efficient manner. Ensure that outgoing mail is collected and distributed. Arrange the receipt and delivery of courier mail and parcels whilst working on site.
