**Role Description**
- General office administration including monitoring and liaising with contractors.
- Uploading all required information on to the Facilities Management system.
- Assisting FM with day-to-day operations.
- Ensure contracts are delivered on time.
- Ensure due diligence for all contractors is in place.
- Other admin duties as appropriate

The Facilities Support Officer will be responsible for processes that support the facilities management team and service contractors. They will work within a fast-paced demanding environment. They will work under within a fast-paced demanding environment. They will work under pressure, attention to detail is essential as tracking POs (Purchase Orders) from the beginning to the end of the process.

The FSO will work as part of a team ensuring high standards of soft service delivery, customer satisfaction and contract retention.

The FSO will drive service excellence throughout the onsite teams. Maximise customer satisfaction and help maintain a good working relationship with the site client representative

All applicants must be computer literate, have excellent organisational skills, be able to perform under pressure and prioritise workload with a systematic approach.

Good communication skills are vital as contacts include Senior Management Clients, sub-contractors and Client Helpdesk.

**Main duties and responsibilities**
- Book engineers on site and ensure closure maintenance are completed within specified timescales.
- Allocate the correct engineer/contractor by skill set and location to complete the task to the client's requirement.
- Manage compliance, collation, distribution and filing of maintenance paperwork.
- Handle telephone queries from clients and engineers on outstanding and ongoing work orders.
- Provide additional support to undertake colleague's wok as and when require.
- Liaise with contracts managers to update on progress and highlight issues.
- Any other duties requested by directors.
- Update third-party systems with compliance documents.
- Manage any subcontractors carrying out PPM on behalf of integral including all associated paperwork and purchase orders.
- An effective communicator, competent with computers (especially Microsoft Excel, Word and others)
- Conscientious of disruption created by works to a property
- Ideally have a property maintenance background
- Good knowledge of building regulations and trades practises
- Experience in repairs and able to do so when required

**Job Types**: Full-time, Permanent
