The overriding purpose is to support the provision of the highest quality patient care and customer service through personal actions and continuous improvement. The role supports two functions, working autonomously without daily supervision to
- To support the Service Director in managing the clinical governance agenda. This will include the gathering of information, undertaking enquiries and the preparation of agendas and minutes, collating and distributing papers. Some general typing of reports/ minutes will be required and also the requesting and tracking of patient notes. The post holder will be expected to independently resolve the majority of issues delegated by the Service Director/Divisional Governance Lead

**Main duties are as follows**:

- To provide specialist admin support to the Divisional Governance Lead/Service Director
- Development and maintenance of administrative systems
- Provide an effective and efficient comprehensive administrative service to the Divisional Governance functions
- Ensure all necessary preparations are made for meetings and to attend defined meetings to record agreed actions.
- Helping prepare letters, reports and other communications which may be of a highly confidential nature, including independently dealing with business matters and ensuring that issues of concern are brought to the attention appropriate personnel.

To provide secretarial/administrative support and advice to the Divisional governance lead for the Governance function, including
- Taking telephone calls for SD and governance when out of the office and expected to use their initiative to deal with phone calls and messages.
- Undertaking administrative duties such as photocopying, faxing and mail-out distributions.
- Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.
- Supporting the team in project management and participating in programme delivery events.
- Supporting the team in carrying out their business, including organising and supporting meetings
- Inputting, monitoring and checking data, required for finite and on-going projects within the team
- Helping the team manage and present data required to support developments in the projects.
- Working with all team members in the collection of information for milestone reporting on relevant team projects
- Acting as a point of contact for the team, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously
- Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team
- Preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions and interviews as necessary.
- To provide administrative support including when appropriate to all team members to support a range of team initiatives.
- Working together with PPC within the offices to provide an effective network of communication including dealing with visitors to the site and being flexible to cover other administrators’ general duties within the core team.
- Providing guidance and advice on relevant policies and procedures.
