Executive Assistant to Operations Director

Reporting directly to the Operations Director and also be a supportive force to our Operations team. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. They will have previous experience working in an office environment, performing administrative duties and providing support.

**AREAS OF RESPONSIBILITY**
- Facilities management including H&S, general welfare, door access etc.
- Manage the clocking in software ensure data is accurate and up to date.
- Post Job Adds on job sites, provide managers with CV’s and book interviews.
- Support Executive Assistant to CEO with new starter process (door cards, lockers, ordering uniform etc).
- Send daily absence report to managers.
- Support Executive Assistant to CEO with any other ad hoc HR admin.
- Arrange staff meetings and any other events at Kites Croft.
- Assist the management team with various operational reports using internal systems and Microsoft Excel.
- Organise all welfare ordering (tea, coffee etc) for the Fareham site.
- Organise the IT Maintenance of all IT assets on site.
- Join and minute meetings, where required and distribute minutes to the team.
- Manage the stationery and consumable ordering and servicing of the coffee machine
- Arrange all servicing for the passenger lift and other equipment as necessary.
- Receive and send post and arrange to send to HQ
- Manage the H&S dashboard ensuring weekly/monthly tasks are being complete
- Ensure the accident book is kept up to date and all entries are logged onto H&S system.
- Ensure all new starters are setup on the H&S system and all training is complete.
- Report daily on operative performance and KPI’s
- Assist the with any ad-hoc tasks as requested by the Operations team.
- Prepare monthly reports for the Operations Director

**DESIRED KNOWLEDGE, SKILLS & ABILITIES**
- Excellent knowledge of MS Office, particularly Excel, Outlook and Word (required)
- Ability to work autonomously
- Impeccable organisational skills
- Excellent communication skills
- Ability to multi task

- Must be self-motivated

**EDUCATION & EXPERIENCE**
- Previous office administrative experience is desirable
- Relevant educational qualifications

**WHAT CAN WE OFFER IN RETURN?**
- Basic salary of £24K (PRO RATA) - Based on 40 hour working week
- 30 hour working week, split over 5 days (operational hours are flexible)
- Discretionary bonus scheme
- Hybrid working (1 day working from home per week)
- 33 days of annual leave including bank holidays (increasing to 37 based on length of service) - PRO RATA

**Job Type**: Part-time
