**Job objectives and responsibilities**

**Mitie** is a UK-based facilities management and technical services company (revenue c.£3.4bn). We are one of the UK's 250 largest public companies.

**Mitie /Communities** is one of the four major business divisions within Mitie, alongside Technical Services, Business Services and Central Government & Defence. At Mitie Communities we serve public sector clients in Healthcare, Education (schools and universities), local authorities and councils and emergency services. We provide our clients with both soft and hard facilities management services. Our contracts include both commercial output-specified contracts and Private Finance Initiative contracts.

**Position Over-view** Newcastle Hospitals Royal Victoria Infirmary (RVI) and Freeman Hospital (FRE) is in one of Mitie's major Healthcare PFI contracts and delivers Total Facilities Management services including projects.

The role of Projects Coordinator is one as a key team member within the contact Projects team which facilitates and supports the creation of both programmes of projects and singular projects in their successful development and subsequent delivery and completion, with focus on following the best practice process for quality, governance, reporting, invoicing and payments. The role also provides key and essential administration support to the Senior Project Manager and Senior QS.

You will report into the Senior Project Manager and be working with colleagues within the Projects team as well integrating with the wider Mitie TFM team and suppliers in order to deliver your role.

**Main duties**

**Responsibilities**:

- **Work with the Senior Project Manager, Senior Quantity Surveyor and project team colleagues on defined project programmes and projects supporting overall end-2-end process.**
- **Manage and deliver reports on projects and programmes to demonstrate status and performance against agreed metrics such as time, cost and quality.**
- **Facilitating the appointment of Design Teams & Contractors to the projects including raising of Purchase Orders.**
- **Deliver effective communications with all stakeholders (internal & external).**
- **Support project delivery process in regard to pre-commencement activities such as obtaining programmes of works, RAMS, technical submittals and ensuring these are appropriately reviewed prior to works commencing.**
- **Support and maintain Mitie's Common Data Environment (ASITE) as applicable keeping records up to date in line with governance.**
- **Comply with appropriate governance processes for all activities including project proposal and commercial submissions, approvals, invoicing, and payments.**
- **Generate and manage reports on Projects and team performance against agreed KPI's.**
- **Generate, collate data and manage regular reporting on projects pipeline, forecast risks and opportunities in conjunction with the projects team and Senior Project Manager/Senior QS/QS.**
- **Manage project budgets and liaise with the Projects and Commercial Team were required.**
- **Facilitate and manage invoicing and payments process with suppliers and Mitie finance and commercial teams to ensure timely payments to supply chain.**
