Overview
Highly successful Property Management company require experienced Facilities Administrator to ensure the efficient management of the Facilities function across a large portfolio of commercial properties
About the role
Reporting to the Asset Manager the primary purpose of this position is to ensure all maintenance and facilities issues are dealt with promptly and efficiently.
- Administration of the facilities management IT system
- Communication of clear instructions to the property team and contractors
- Act as first point of contact for commercial tenants and resolving queries
- Checking details of tenant contracts
- Monitoring performance against Key Performance Indicators (KPIs) and Service Level Agreements (SLAs)
- Financial administration including raising purchase orders and reconciling invoices
- Monitoring expenditure against the budget and following up outstanding payments
- Liaise with the finance team to facilitate accurate financial record keeping
- Supporting the Property Manager in delivering a consistent and efficient service across the sites
- Ensuring the all legal responsibilities relating to the premises are correctly certificated and documented.
- Administering contracts and ensuring that the Property Manager carries out a yearly cost negotiation.
- Maintain internal systems, work flows and producing monthly reports.
- Keep the property management system up to date in all issues relating to maintenance.
- Ensure that supplier and contractor vetting,
- Performing risk assessments,
About you
- Applicants will have strong Administration experience ideally gained within the property sector
- In addition you will have a good aptitude for IT, including MS Word & Excel and excellent communication skills
- Ideally you will have financial administration experience and a strong numerical ability
