Materials Management Officer

East Suffolk and North Essex NHS Foundation Trust (ESNEFT) are excited to be able to offer a full time post for a Materials Management Officer - Theatres based at our Colchester Hospital site.
With the implementation of new structures & systems and continued national developments this is an opportune time to be part of Procurement. ESNEFT Procurement is a progressive department, looking to integrate with clinical and operational colleagues, define innovative ways of working and delivering on financial target.
- Responsible for provision of a support services to users of the new Inventory Management Systems (IMS) ensuring stock usage is captured and all orders are processed in a timely manner, following all Trust policies and procedures and Health and Safety requirements.
- The adoption of a flexible approach towards any supplies activities undertaken and a requirement to provide support where it is required on a daily basis including but not limited to
- Delivering stock to multiple locations across the site
- Receipting goods into the IMS
- Supporting ordering by stores persons
- Assisting operating theatres teams in the capture of implants at point of care
- The operation of a range of tasks with a requirement for working in different locations throughout the Trust.

- Ensure that the Trust's Standing Financial Instructions (SFI's) are adhered to at all times.
- Assist with the provision of IMS support service to Theatres and other interventional procedure areas
- Assist the Materials Management Inventory Controller - Theatres with maintenance of the IMS system, troubleshooting end user problems in capturing movement and usage of products against procedures.
- To assist the Materials Management Inventory Controller - Theatres & Theatre’s stores persons with ordering and receipting in the IMS.
- Maintain & manage accurate records and filing systems, both manual and electronic, in a timely and efficient manner
- Develop a thorough understanding of the role of the Materials Management Inventory Controller and the Materials Management Service
- Attainment of a thorough working knowledge of the NHSSC ordering systems and processes followed by the Materials Management Team
- Continuous management of stock control via processes including stock checks, stock rotation and re-ordering of stock when minimum levels are reached. Identification of slow moving stock and the redistribution to other wards/clinics where appropriate
- All orders to be unpacked, checked and stored following manufacturer’s guidelines and undertaking quality checks performed to ensure that the stock is in date, is stored correctly and is in good condition. To have responsibility for ensuring storage areas tidy and free of clutter
- All system/ordering discrepancies to be identified and appropriate action taken to re-order/return products inclusive of advising both internal & external stakeholders to ensure business continuity
- To identify and take ownership where necessary of supply chain disruption, assisting with sourcing of alternative products. To relay information to the end user after consultation with the Clinical Procurement team
- To provide accurate assistance and advice to wards/clinics and Trust personnel regarding medical/surgical issues, ensuring that the Clinical Procurement Specialist is informed of any issues and concerns
- To deputise and manage the provision of PPE consumables & equipment in the absence of dedicated colleagues.
