**FINANCE OFFICER**

**PURPOSE OF THE JOB**
- To provide accurate and timely financial and administrative support to the school.
- To maintain efficiency in procedures and processes and to ensure first class communication to all customers.
- To ensure that payroll and personnel files are accurate; and administer the staff recruitment process.
- Assisting the Senior Leadership Team (‘SLT’) in maximising the revenue and profitability of the school.
- You will report to the Head and help make decisions about the day to day running of the business of the School.

**HOURS**

9.30am to 2.00pm - 5 days’ a week - 25 hours a week (10.00 till 2.30 on Tuesdays due to Finance meeting)

Holidays: 6-8 weeks to be taken in school holidays or half terms - to be discussed at interview.

**PRINCIPAL ACCOUNTABILITIES**
- Assisting the Senior Leadership Team and Finance Business Partner (who is based at Bellevue Head Office) in the formulation and management of the school’s budgets & forecasts; liaising with school and head office personnel involved in the budget process.
- To manage the finances of the school, including fee invoices, payroll, monthly accounts, petty cash and management of the school budget.
- Assist the Finance Business Partner in producing management accounts reporting packs for the school
- In liaison with the Senior Leadership Team and Finance Business Partner, recommend the fee structure and other charges.
- Assist the Finance Business Partner in the preparation of information for year-end audit, liaising with auditors and senior stakeholders within that process.
- Answering and resolving any queries from parents concerning school fee invoices.
- Managing the sales ledger, including debtor management and raising of invoices relating to the school.
- Process and be involved in means testing of Bursary Applications
- Supporting the Headmaster in developing additional revenue streams including letting of school facilities to external bodies
- Leading and managing the Accounts Assistant with their dealings with suppliers, invoices and purchases, and any future staff allocated to the finance team.
- Reconcile credit card purchases with material prepared by the Accounts Assistant.
- Ensuring that the financial and booking elements for school trips are correctly costed, organised & billed to parents in conjunction with teaching staff.
- Be first point of contact with the Catering Contractor.
- Ensure the accurate processing of information in line with financial regulations and as agreed by Bellevue Head Office.
- Ensure all licences, subscriptions, insurance and registrations are in place and maintained in accordance with their terms (Data Controller).
- Produce regular information for a variety of purposes including DCFS and ISI.
- To administer the recruitment process for new staff (teaching and support) in preparing job specs, advertising, sending invitations for interviews, sending offers and preparing contracts. All onboarding is then passed across to the office team and does not sit in this role.
- Management of payroll; maintain up to date records of all changes to personnel pay details; provide timely monthly information to the payroll provider and other relevant bodies.
- Contract addendums and amendment letters for existing staff. Annual salary review letters.
- To be part of a team covering the reception desk as and when required.
- To be aware of employee responsibilities for Health & Safety of themselves and others and to work in a safe and secure manner with due care towards the health and safety of oneself, other staff and pupils.
- Every member of staff has a duty to commit to the safeguarding and welfare of all pupils at the school
- To participate in staff programmes for training, in particular safeguarding and Health and Safety
- To be fully aware of and strictly adhere to security procedures of the school regarding keys, ID badges, stock and property
- Any other related and reasonable request from the Head or Deputy Head

**Experience & Qualifications**
- High level of numeracy and literacy (Essential)
- Experience of working in an accounts environment (Desirable)
- AAT Level 2 or higher (Desirable)
- Customer Service Experience (Desirable)
