**Reporting to: Head of Lettings**

Placefirst is a growing Residential Property Company and a leading provider in the Build-to-Rent sector, that has a track record of delivering high quality homes and healthy sustainable environments. We currently own and manage 1,500 properties across the North and have a target to grow the business to 6,500 units within the next five years. Our focus on developing Place and improving neighbourhoods has enabled us to secure off market opportunities by utilising our USP. We now need to continue this growth and further build on our established pipeline. The business is supported by our Private equity Partner who are fully supportive of our growth aspirations. Our future growth will be generated through construction of new Single-Family Housing and a blend of acquisition of new and existing portfolios across the UK.

**Purpose of the job**:
To co-ordinate the daily Lettings function of the business with a clear focus on service delivery to ensure residents receive a best in class first experience with Placefirst.
The Lettings Team Leader will be organised, proactive and a motivational team-leader to the Letting Administrators. The role will support the teams across the lettings and resident services functions by offering training, development and guidance.
The role will be focused on minimising void levels on available and upcoming properties across the portfolio, whilst ensuring excellent customer service is delivered consistently.
**Key responsibilities**:
- Day to day co-ordination of the lettings function to ensure all customers receive best in class service
- Ensure all customer enquiries are handled efficiently and effectively at all times
- Ensure all customers are followed up after every viewing
- Ensure the customer waiting lists are kept engaged with Placefirst
- Ensure telephone cover is available at all times during business operating hours
- To ensure all payments are processed in line with the company policy.
- To ensure all Right to Rent policies are adhered to and inform the Lettings Team of any changes of legislation.
- To ensure all Tenant Fees Act 2019 legislation is adhered to and regular training and updates of changes communicated to the Lettings Team and Resident Services Team
- To confirm tenancy start dates as soon as the checks are completed and ensuring applicants move in as quickly as possible in order to reduce the void days
- Work with partner agents to agree lets on void properties
- Work closely with Marketing to ensure customer opinions are fed back and available properties are highlighted to maximise marketing exposure.
- Ensure regular feedback is obtained and shared with the Lettings Manager
- Work closely with all Resident Services Managers to ensure letting processes are being adhered to and the Placefirst brand and product are being sold in the best manner.
- Work closely with all Resident Services Managers and Letting Administrators to maintain the applicant database, updating feedback following viewings, which will allow greater efficiency in closing deals
- Follow and be aware of the competition local to Placefirst neighbourhoods and also the wider BTR and PRS markets.
- Assist in new development launches and open events
- Liaise with the Lettings Manager to ensure timely reservation release programme of new handovers from Construction and re-lets from Refresh.
- To handle all complaints relating to the lettings function, in line with the Placefirst complaints procedure, escalating to a senior manager when required with as much detail as possible
- Monitor and maintain the best in class customer journey
- A key focus on minimising void periods on all upcoming and available properties, identifying opportunities and suggesting incentives/ ideas
- A clear focus on the delivery of business KPI’s set for the lettings function
- Support other business areas to ensure the company values and culture is delivered to our customers
- To support the Head of lettings, Customer Experience Director and marketing function as required
- All other activity commensurate to lettings requirements and being a team coordinator within Placefirst
