**Finance Administration Assistant**:
You will be a highly motivated Finance Administration Assistant working in a small and fast-paced team that looks after a wide range of small businesses and charities and which has won “Employer of the Year” in a recent Scottish Business Awards.

**About the HR Dept**:
The HR Dept provides professional HR expertise and support at a cost that makes sense for SMEs. We become a company’s outsourced HR Department.

Particularly in smaller organisations, the employees are often the Company’s best assets. Many SMEs are not large enough to warrant the costs of employing a full time HR presence, but at some point, everyone needs a helping hand so business owners can get on with the day to day running of their business.

We provide support to businesses across Edinburgh & the Lothians.

**Main Duties**:
This role is accountable for the administration of the financial aspects of the business. The post holder will also work with the Managing Director to aid in special projects. The post holder is required to be flexible and versatile.

The core element of this role are the smooth running of all day-to-day financial administration tasks and the completion of additional project work as and when required.

**Key accountabilities of this role will include**:

- Providing customer service to clients & colleagues & 3rd parties
- Reconciling daily transactions
- Processing invoices & bills
- Managing monthly Payroll through BrightPay
- Pension upload and maintenance through Peoples Pension
- Manage & update Invoice spreadsheet
- Credit Control (invoice chasing)
- Resolve 3rd party financial disputes
- Reporting on monthly figures relating to business performance, operations & Futrli:

- Managing profit/loss report on xero
- Bookkeeping duties i.e prepayments, journals etc (not essential but desirable)
- Non
- financial information to external Accountants
- Income Breakdown to Directors
- Futrli - check all figures & present to team
- Cash Flow management
- Monitoring & payment of manual bills (including set up payroll & Divs)
- Expense management & payment
- Administration of OOT Commissions
- Processing Monthly payroll journals
- Maintain Retainers & invoice request spreadsheet
- New Client Set up, renewals & retiral administration
- Create and/or maintain process documents & checklists
- Supporting the Managing Director with projects and tasks when required
- Developing an in-depth knowledge of organisational services, products and process

**Qualifications and experience required for this role**:

- Strong Communicator - you’ll be dealing with Business Owners and their teams across a wide portfolio of businesses (Verbal, written and strong telephone communications)

- Regular use of Microsoft Office (Word, Excel and Powerpoint)
- Competent level of maths
- Experience of xero would be advantageous
- Experience of using CRM Systems is desirable

**Details**:
Part time - 20 hours a week (preferably over 4 or 5 days from Monday - Friday)

Home based - with the requirement to travel to Edinburgh for team meetings that are normally held monthly.

Salary - £23,500 per annum (pro rata)
