CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting for a Contract Support to join the team located on an account in Bristol or Walsall.

**Job Summary**:
The Contract Support will primarily provide a comprehensive and flexible contract support service to the account, whilst supporting the day-to-day operations at the offices.

This role will be responsible for maintaining concise records of all CBRE transactions, co-ordinating, financial reporting and other administrative tasks as required by the account. The individual will be involved with all site’s operations, working closely with the management structure to ensure that an exceptional service is delivered to the client, assisting with the management of all matters related to QHSE, Client engagement, Operational Excellence, Innovation and Financials.

**Key Responsibilities**:

- To assist with the control of all financial and commercial aspects of the contracts
- To assist in the production of supporting financial information
- To maintain and update both manual and computer records relating to the areas of which CBRE are responsible.
- To prepare and issue predefined reports, which form part of the contract and customer requirement.
- To administer quality management system documentation and ensure compliance.
- Liaise closely with the site team and head office, ensuring accurate processing of quotations, purchase orders, invoices, time sheets and holiday records.
- To undertake general office duties relating to the contract including:

- Updating of electronic records
- Material ordering and administration.
- Subcontractor administration
- Raising purchase orders and ensuring that purchase orders are updated when changes required.
- Production of valuations and presentations of results
- Quote logging and processing
- Collating timesheets from engineers, chasing and checking quality of data.
- Contract set-up (PPM / System Support/SI7/Service Now)
- Application billing preparation
- Contract escalation process
- To enable full auditable trails with example but not limited to invoices, timesheets, material orders and goods received notes.
- To be responsible for the commercial support on the contract through to final account
- Ad hoc finance assistant to the finance manager
- Involved in training of support staff within the account.
- Review of P&L reports and analysis to finance manager involved in the training of support staff within the account.
- Debt management
- Contract KPI’s CBRE and contract KPI (client)
- Arranging agency cover as and when required.
- Booking training for site staff
- Maintaining catering consumable stock to include budget management, ordering and invoicing.
- Have full understanding of the front of hours processes and provide support when required.
- Logging and tracking hazards and supporting with QHSE management.
- Weekly report to the finance team
- Support the Contract and Facilities Manager’s to ensure a smooth day-to-day operation is delivered.
- Support major work programmes on site, acting as the liaison point for all parties involved.
- Attend, support, and feed into client meetings, as and when required.
- Work with the building managers and the procurement department to ensure compilation of external contracts and ensure that all procurement needs are carried out in line with Company policy
- Support with the monitoring of FM works onsite and liaise with service providers/sub-contractors
- Assist in the upkeep of e-logbooks and both CAFM systems.
