Administration officer (Civic & Democratic)
You will be expected to work as part of a team and provide support to other administration team members when required and uphold the values and visions of the Town Council to serve the people of Bicester.
Based in Bicester, with a population of around 29,000 it is a town with exceptional facilities including sports pavilions, leisure centres, 3G pitches, allotments, numerous play areas, extensive shopping facilities and a range of open spaces.
The administration officer will have a number of individual responsibilities across three key areas.
Civic
- Take the lead in coordination of civic events including Mayor making, Civic service, Armed Forces Day flag raising and Remembrance Sunday
- To coordinate the annual good citizen’s awards.
Mayoral
- To provide PA support to the mayor
- To organise and manage Mayoral events.
- To ensure accurate recording of Mayoral fundraising
- To produce a month, end mayoral finance report for the RFO
Democratic
- Meetings administration - to coordinate and oversee the administration process for all council and committee meetings efficiently.
- Agendas - to oversee the preparation and distribution of agenda including the upload onto the website.
- Minutes - to oversee the preparation and distribution of minutes including upload onto council website.
- Minute books - to compile all minute books in accordance with the council schedule, including binding on an annual basis.
- Actions from minutes - to ensure timely actions are undertaken following meetings including records of attendance, the resolutions summary and general correspondence.
