**Team Administrator**
The post holder will be responsible for providing a full range of administrative support to the team. This will range from typing general correspondence to data inputting of clinical activity on Trust and local authority databases.
The post holder will be expected to work without immediate supervision in order to enable the team to carry out a range of clinical activity as quickly and effectively as is required.
**Location**: Chelsea
**Temporary**:Expected to be ongoing
**Hours**:9am - 5pm Monday to Friday
**Salary**: £14.00per hour umbrella or £12.00 per hour paye inclusive of holiday pay
**Skills knowledge and experience**
- 1 year’s senior administrative experience.
- SystmOne Experience
- Ability to use Microsoft Office andIT knowledge includinguseofdatabasesand spreadsheets.
- Fast and accurate typing (minimum 50WPM).
- Demonstrate effective organisational ability over a wide range oftasks,eg. typing,data inputting andad hocrequests.
- Ability to work in aflexible and organisedmanner, toprioritiseandworkto deadlines.
- Ability to communicate effectively,both verbally and in writing.
- Confidenceto work on own initiative and to consult as needed.
- Ability to work under pressure.
- An appreciation and respect for the needs of people with mental health problems and their families and an ability to deal with aggressive or distressed clients.
- Ability to maintain confidentiality appropriately and understand the issues involved.
**Main Duties and Responsibilities**
**Administrative**
- To assist with the day to day management of the office and the development, implementation and maintenance of office practices and procedures.
- To deal with telephone calls, correspondence and direct contacts with clients and internal or external agencies in an appropriate and professional manner, using judgement and discretion where necessary and referring complex matters to relevant senior membersof staff.
- To attend the team meetings as required and to be an active participant in the monthly administrative team meeting.
- To act as secretary at meetings, taking and distributing minutes as appropriate, and to act as chair of the administrative team meeting on a rota basis with colleagues.
- To ensure that administrative systems within the team are operationally effective, advising the Office Administrator of any issues or concerns.
- To report all request for repairs through the Office Managers.
- To have an understanding of health and safety regulation and assist in maintaining a safe environment for clients and visitors to the department in accordance with fire, health and safety procedures.
- Handling of service user data according to GDPR and Trust policies, ensuring confidentiality of service user information is maintained at all times.
- To arrange transport and book outpatient appointments as necessary.
- Organise requests for medical investigations (blood tests, X-rays etc) and ensure the results are available when required.
- To have an understanding of health and safety regulation and assist in maintaining a safe environment for service users and visitors to the department in accordance with fire, health and safety procedures.
- To provide cover to colleagues in their absence.
