**Location**: London, hybrid
**Reports to: Chief of Staff**
**Salary**:£32,000-38,000, depending on experience
**Tech Against Terrorism**
Tech Against Terrorism enables the global technology sector to effectively tackle terrorist use of the internet whilst respecting human rights. We focus on smaller tech platforms who might not have capacity or capability to respond to this threat without support. We work closely with the United Nations, large tech firms, dozens of smaller tech platforms, democratic governments, and civil society. Currently, we are working on expanding our work with a number of commercial and publicly funded projects.
As an Operations Coordinator, you will play a vital role in providing administrative and operational support to the Chief of Staff and the broader organisation. You will work closely with the Chief of Staff, Senior Leadership Team, and Project Manager in TAT, collaborating to streamline internal team processes.
This role is well suited for someone who thrives on taking ownership of small tasks and larger projects alike, likes to work with structure and processes, who works collaboratively and has previous experience or proven interest in working in operations, finance, or project management.
**Responsibilities**:
- **Strategic and Operational Support**: Assist the Chief of Staff in strategic and operational planning.
- **Meeting Coordination**: Schedule and prepare team meetings, including STW, CU, Review, and SMT meetings.
- **External Relations**: Act as the point of contact and maintain relationships with external partners and suppliers of the operations team, including Payroll, Accountants, and FinOps.
- **HR Coordination**: Coordinate recruitment, onboarding and offboarding processes as well as any other people team workstreams for team members in TAT.
- **Data Management**: Maintain and update Management Information (MI) logs and forms, including the contract tracker, Profit and Loss (P&L), cledara, etc.
- **Documentation Support**: Assist the Chief of Staff and Project Manager by updating and maintaining Project Management Office (PMO) documentation.
- **Financial Administration**: Coordinate and manage financial administrative processes, such as tracking receivables and reporting deadlines, maintaining documentation, raising invoices, and setting up payments.
- **Travel Arrangements**: Coordinate, plan, and book travel arrangements for the Executive Director (ED) and the wider team in collaboration with our external travel agents.
- **Stakeholder management**: Maintain our contact databases.
- **Process Improvement**: Identify operational bottlenecks, make suggestions for improvements, and collaborate with the Chief of Staff to implement changes.
**Requirements**:
- **Education**: A Bachelor's degree or professional qualification in a relevant field or professional experience in a comparable role
- **Business Administration/Project Management**: Interest in and prior knowledge of business administration or project management is highly desirable.
- **Organisational Skills**: Exceptional organisational skills and attention to detail are a must
- **Service Mindset**: Enjoy working in a people-facing role with a strong service-oriented mindset.
- **Interpersonal Skills**: Outstanding interpersonal skills to effectively liaise with various stakeholders. A positive and proactive attitude.
