Job Description - Operations Coordinator

Reporting to: Operations Manager

Role Purpose:
The Operations Coordinator is fully accountable for the efficient and consistent support of The Nunhead Gardener Stores and the smooth operation of the central headquarters. Working with the support of the directors, senior management, finance and warehouse teams you will support the Operations Manager in the daily operations and continued growth of The Nunhead Gardener. The Operations Coordinator role is based primarily in our Head Office however, will involve working in our other sites.

**Responsibilities**:
Systems:

- Assist the Operations Manager to ensure new members of staff are set up and trained on all systems in a timely manner
- Complete a regular staff file and systems audit to ensure information is complete, accurate and up-to-date
- Coordinate the upload of weekly rotas to our shift management system
- Assist staff with systems queries and training as needed
- Keep up to date with system updates and functionality
- Liaise with stores to ensure hardware is available and fully functional

Safety:

- Coordinate annual Fire and Health and Safety inspections and follow up on remedial actions
- Manage a health and safety tracker for all sites and ensure all required visits are booked and stores notified
- Ensure all staff are added to our health and safety program and assigned appropriate training modules
- Take responsibility for ensuring that all Health and Safety training is undertaken by staff. Track the progress of staff training and report monthly

Customer Support:

- Respond to customer queries, complaints and feedback in a timely manner
- Feedback to senior management on any escalations, recurring complaints and requests
- Liaise with suppliers to fulfil customer requests
- Assist with the creation of proposals and booking off-site work as required
- Manage communications between the client and the team completing the job
- Send weekly updates on tickets

Recruitment
- Post, manage and update online job ads on Indeed, other recruitment websites, BambooHR and our own website
- Ensure hours from trial shifts are tracked and paid

Retail Operations:

- To complete shifts weekly in the stores as required ensuring you are always up to date on the latest processes and procedures
- Learn the opening, operating and closing procedures in each store
- Support the store in busy periods such as busy seasons, bank holidays and help to cover staff holidays as required
- When in-store to actively ensure that all staff are following procedures whilst flagging or completing training sessions when required
- To demonstrate the highest levels of customer service when in the store, setting an example for other staff members
- Undertaking stock takes of products and assisting in analysing and reporting results

Support:

- To aid and assist the senior team as required in managing diaries and communications
- Undertake buying of stock for any suppliers allocated to you. Follow due process ensuring that the correct levels of stock are purchased, ensuring no key items run out of stock and that stock of poor selling items are flagged to be discontinued
- To provide administrative support to all teams as required
- Take responsibility for issuing a periodic Operations Update report to Directors within the given deadline

Projects:

- Undertaking ad-hoc projects as required by the Directors and Operations Manager
- Support the Operations Manager on the implementation and roll-out of operational documents and training initiatives

**Requirements**:
The Operations Coordinator is a Nunhead Gardener ambassador with excellent business administration and communication skills, displaying a relentless drive to complete projects and move the business forward.

It is essential that the Operations Coordinator is able to juggle multiple priorities.

Must have exceptional written and verbal communication skills, they will be organised and highly proactive. They will also be comfortable working in a fast-paced environment and be able to work under pressure. The Operations Coordinator must be comfortable dealing with stakeholders at all levels of seniority.

They should be highly computer literate. The coordinator must be process-oriented with a keen eye for detail.

A flexible attitude and time management skills are essential - there will be occasions when working out of office or store hours is required.
