**Mobile Practice Coordinator** (administrative / customer service)

**Practice Name**: Working at the Maidstone, Eltham and Sevenoaks Practices

**Location**:ME14 1HP, SE9 1JT & TN13 1LD

**Hours**:40 per week over 5 days (alternate Saturdays with a day off in lieu)

**Starting salary**:£26k pa

Regain Hearing is an independent, family run, private hearing healthcare business with luxurious state of the art practices across Kent and SE London. In addition, we provide domiciliary hearing services to our patients who are elderly or housebound. Every day we help patients across Kent and SE London with all their hearing health care needs, from relief from their tinnitus, ear wax removal, hearing tests, fitting/servicing of hearing aids and organising custom ear protection and much more...

**Job role**

Reporting directly to the Operations Manager you will meet and greet patients and ensure an outstanding level of customer service is provided.

To take responsibility for creating a friendly, professional, and welcoming environment.

To use your knowledge of the local area and forge relationships within the community and raise awareness of the services we offer by occasionally attending events.

Manage and coordinate our audiologists' diaries as well as communicating with our other practices and departments.

Respond to 'live chat’ conversations with patients on a daily basis and communicate in a professional way.

Accurately record and manage stock levels for the retail sale of accessories and for the sundries stock levels in your practice on a weekly basis.

Take and process payments and ensure that payments and appointments are reconciled on a daily basis.

Ensure that the banking for the practice is carried out at least twice per week.

Ensuring data entry (personal and financial) on the CRM system is meticulous and accurate.

Ensure that every patient is asked how they heard of us when booking an appointment and ensure that this is accurately logged on the CRM system.

Answer calls within 5 rings using a clear, loud and professional tone.

Ensure that you implement company protocols and procedures in place at any given time.

Ensure that you look clean, smart and presentable at all times and wear business attire.

Keep the practice clean, tidy and clutter free at all times and ensure that the practice opening and closing procedures are followed.

Gather feedback from patients via questionnaires, testimonials and electronic methods.

Complete all relevant administration including scanning patient information, booking appointments, preparing templates, updating patient databases and making sure legal documents are submitted correctly and followed up on.

Ensure electronic filing is stored correctly on google drive and is conducted on a daily basis.

Liaise with Directors in cases where patients are requesting a refund and deal with patients in a timely and professional manner in line with the Company procedure at that time.

Put forward ideas to improve the customer experience at any given opportunity, striving towards Regain Hearing's objectives of taking the customer experience from the ‘ordinary’ to the ‘exemplary’.

Must assist all other teams where necessary.

If your practice has planters/flowers, ensure they are kept watered, dead flowers removed and replenished frequently.

Display an outgoing, professional and friendly manner at work and take every opportunity to talk to patients socially and/or regarding the promotion of our products and services and make them feel at ease and cared for.

Employ an enthusiastic and constructive approach to your work at all times.

Attend staff meeting as and when required.

**Salary**: £26,000.00 per year
