**Duties and Responsibilities**

Providing a Factoring Service to Westscot Living Owners and achieving high standards of performance and customer service in delivering the following:

- Be responsible for day-to-day Factoring Debt Recovery action in line with good practice and WSHA Group’s policy & procedures.
- Undertake Debt Recovery visits to Factored Owners.
- Initiate Debt Recovery court action (including NoPLs), as per our procedures
- Monitoring all Factoring Accounts in line with agreed procedures.
- Recommend where arrears and other debt should be written off in line with the Association Write-off policy
- Provide accurate information and data on outstanding debt and actions taken, to the FTL, for inclusion in the Quarterly Performance Report to Westscot Living Board
- Set up arrangements, direct debits and other payment methods with customers.
- Liaising with owners and ensure compliance in respect of insurance claims, change of ownership, and review of Title Deeds & Written Statements of Service.
- Assist the Factoring Team Leader with drafting factoring policies and producing reports
- Liaising with the Association’s Finance Team in respect of billing and payments including insurance payments, claims and settlements.
- Overseeing the processing of invoice/data onto the Factoring System to enable bills to be issued.
- Annual block inspections for fully factored blocks.
- Co-ordination of issuing factoring invoices on a 6 monthly basis with assistance from the Factoring Admin Assistant
- Promoting good quality relations with owners, the local community, external agencies and other bodies
- Co-ordination of meetings with new owners with assistance from the Factoring Admin Assistant
- To collate information for quarterly KPIs, Board Reports, the Annual Return of the Charter.
- Ensuring accurate up to date record keeping of all factoring information,
- Ensuring all activity and processes follow WSHA Group’s policies and procedures, legislation and good practice and within agreed timescales
- Attending such training courses, seminars, conferences and other learning and development events as the WSHA Group may require.
- Providing cover as necessary for the Department
- To contribute to information for owners on Westscot Living’s services and provide reports/information and articles for the Newsletter
- To be fully conversant with the WSHA Group’s Factoring IT system
- Ensuring that Factoring services are delivered in line with our Customer Care Charter, WSHA Group’s policies and procedures, and legislation, and maximises value for money, quality and cost efficiencies.
- Any other activity necessary for the fulfilment of the WSHA Group’s aims and objectives and within the job purpose of the role.
