Personal Assistant

Primary Purpose:
SES Electrical Contractors, the industry leader in electrical installation and repair, is looking for a new Personal Assistant to support our Managing Director. You will be responsible for managing business related tasks to the MD, creating reports, arranging travel, taking meeting minutes and other administrative tasks. To be successful in this role, you must have a detailed understanding of the full Microsoft office suite and google workspace, be extremely fast at solving problems and have had experience as a personal or administration assistant in the past. You will be interacting with our employees and customers daily and having patient and respectful behavior is a must as you are representing our Electrical Company.

Responsibilities: (This list may not include all the duties assigned)
- Manage sensitive matters with a high level of confidentiality and discretion
- Sustain a daily calendar of meetings and events, organize complex schedules, and resolve any scheduling issues.
- Create agendas, capture meeting minutes, and follow up on action items
- Plan events to include but not limited to Team Builds, Training Sessions, etc
- Prepare Microsoft or Google Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objective for the organization.
- Act as the point of contact between the MD and internal or external colleagues.
- Draft and prepare correspondence for internal announcements, meetings, and organizations
- Use software including spreadsheets, databases, presentation software.
- Arrange travel and accommodations for the MD with the ability to travel when needed
- Prepare accurate and timely expense reports for self and the MD
- Represent the company and the MD in a positive light through great follow-through skills and sound judgment
- Conserve the MD's time by reading, researching, collecting, and analyzing information as needed, in advance.
- Provide general admin support
- Other duties and special projects as assigned.

Basic Position Requirements:

- 3+ years as a personal assistant or other relevant administrative support experience
- Advanced proficiency in Microsoft Office to include Outlook, Word, Excel, PowerPoint, Teams, etc.
- Proficient in using Apple computers, phones, and tablets
- Proficient in using various virtual meeting platforms such as Zoom, TEAMS and Skype

Abilities:

- Ability to organize a daily workload by priorities and prioritize conflicting tasks
- Proven ability to meet deadlines in a fast paced quickly, changing environment
- Reliable and self-motivated with the ability to work efficiently as an individual or within a team to include working with various groups within and outside of the company.
- A proactive approach to problem solving with strong decision-making skills
- Professional level verbal and written communication skills.
- Business sense-can decipher priorities and make sound judgement calls when needed.
- Critical thinking and analytical skills are required to perform daily tasks.
- Impressive communication, presentation, and interpersonal skills
- Excellent time management and organizational skills.
- Strong leadership skills with the ability to lead upwards through follow up and leading by example.
- Agile with the ability to move swiftly, be receptive to change and be successful in a fast-paced environment.
