The primary purpose of this role is to support the compliance and Operation teams with administrative support to enhance the overall quality of their services to our internal and external customers.
**Key Responsibilities**
The main tasks and responsibilities of this job are as follows:
**Facilities -**:
- Assist with the movement of all documents into the IMS phase 2 area
- Convert all hard copy documents across the estate into digital documents in line with the IMS Phase 2 project
- Help chase suppliers, customers and employees with critical facilities bookings
- Help with the booking of the teams visit to sites through table bookings, covid compliance and any other specified needs
- Assist with the day to day running of the Safety Media Software
- Assist with the day to day running of the EHS/Facilities Ticketing system
- General administration duties
- Assist with the compilation of annual AOP/Budgets
**Compliance -**:
- Assist with key projects like the IMS Merge with administration support as directed
- Assist with the compilation of the Management review meetings through bookings, chasing information and sending out information to the wider audiences.
- Updating the SharePoint and IMS pages like the landing page or background support pages.
- Updating the CAD System
- Creating info-graphics and slidedecks as requested
- Assisting with the collating of EHS data
**EHS -**
- Support with the collection of monthly reports into the EHS Framework
- Creation of a Safety Metric Dashboard
- Update Pandemic documentation
- Write the minutes from the Health and Safety Committee Meeting
- Ensure all training software data requirements is kept up to date
**General Responsibilities**
- Booking in process for specific visitors for security and Covid checks
- Making arrangements for team travel requirements
- Compile Communications to be distributed across NGUKL via the comms team
- Arrange PO as required by the teams
- Assist with the compilation of annual AOP/Budgets
- Any other reasonable administrative duties as requested by her line manager
- Support the other team members as required
- Compile holiday rosters and holiday calendar alongside key commitments
To fulfil the requirements of this job, the post-holder must have the following;
- Experienced administrator across business requirements
- Expert/Skilled user of the following software; Windows-Excel (Pivot tables & V Lookup), Word, PowerPoint.
- Must have a can-do attitude and be willing to go the extra mile to succeed
