Spire Cambridge Lea Hospital are looking for a Medical Records Assistant to join their established team on a full time basis. The main duties of the role would be to provide support and high quality service within the Medical Records department.

**Duties and responsibilities**
- Taking primary responsibility for the accurate preparation, tracking and storage of all medical records for the hospital
- Preparing medical records prior to outpatient clinics, and the effective transportation of those records to the relevant department(s), inclusive of filing upon completion
- Ensuring a meticulous attention to detail and accuracy, due to the high volume of appointments the hospital manages on a daily basis.
- Ability to train in other administration departments within the hospital to provide cover as and when required.
- To be responsible for managing the patient's medical record/file. Collate, organise, retrieve and archive documents, making sure that the files are accessible and available to staff when they are needed.
- Enter data on to SAP, scanning documentation and checking against the manual records to make sure all the details are correct.
- Locating files, organising them for the day's appointments. Replacing and filing documentation in order to ensure a prompt and accurate retrieval service..
- Make appropriate preparations for clinics, to ensure that the patient's visit will run smoothly. For each clinic session this will involve ensuring that there are appropriately prepared case notes. It will require the ability to prioritise own workload and meet strict and often short deadlines.
- Prepare the medical pathways and patient labels for all patients’ notes that are coming in for pre assessments
- Ensure that all booking forms are filed in patient’s notes prior to the pre assessment date.
- Ensure that case notes and associated documents are properly maintained in a complete, orderly and accurate state, thus ensuring their suitability for use by medical and nursing staff at all times.
- Responsible for completeness of all clinic case notes, ensuring prompt filing of correspondence and investigation results when case notes are in your possession, to support continuing patient care and thus avoiding clinical risk.
- Ensure notes are delivered to the appropriate clinic in time for the commencement of clinic.
- To extract case notes in a timely manner ensuring that items are correctly booked out of the library to the new destination and either sent or made available for collection to the ward, clinic or office requesting the notes.

- Experience working in a similar environment would be beneficial but by no means necessary as full training will be provided
- Must be a good communicator and have good computer literacy
- Someone who works well as part of a team
