Receptionist and Office Administrative Assistant

To effectively manage the reception area and daily operations at Front of House alongside providing administrative/ad-hoc support to various departments throughout Bakers - Sales, Marketing, Accounts and more.
Tasks and Responsibilities:
Reception:
- To answer all incoming calls to the business and accurately record information.
- Able to maintain the reception area (in terms of upkeep and tidiness) alongside other responsiblities.
- Able to present self in both a polite and professional manner when welcoming visitors to the premises.
- To provide first class customer service both internally with colleagues and externally with our customers.
- To understand the importance of 'customer experience' when signing in visitors and able to follow the correct signing in procedures.
- Manage diaries for several meeting spaces using Outlook.
- Ensure meeting spaces are set up and well equipped with relevant material and refreshments.
- Upkeep of meeting spaces and kitchen areas.
- To restock supplies throughout the building.
- Greet the Tesco's delivery driver Monday and Wednesdays and distribute goods throughout the factory and office.
- Receive incoming post daily and distribute accordingly.
- Coffee machine - clean parts via dishwasher and hand wash milk frother once weekly
- End of working day, shut down eg, dishwasher on, meeting space tidy up (glasses/mugs removed from meeting rooms and loaded to dishwasher), switches off in kitchen area, aircon off in meeting rooms and canteen, front door screen monitor switched off.
- Empty shredder at the end of each day (if bag is full).
- Kitchen upkeep - wiping down the surface areas and sink regularly
- Assisting both Labels and Materials departments with collation of sample requests.
Administration:
- To support the Accounts department with weekly scanning requirements.
- Complete orders filing daily.
- Able to navigate through the Filemaker database.
- Prepare and frank all outgoing post and accurately record information for special deliveries.
- Weekly stock check of stationery and kitchen supplies - reporting to Accounts.
- Archiving filing cabinets regularly.
- Filing as and when required.
- Preparing items for confidential shredding.
Support:
- Provide support to the Management team and other departments as required.
- Assist in the setting up of any company events.
- Supporting the PR & Marketing team with collation of sample packs.
Other:
- Ensure Fire evacuation lists are updated with any new staff members.
- Make sure all First Aid boxes are fully stocked.
- Order any needed supplies - eg aftershave for men's bathroom.
- Choose flowers on a monthly basis for the reception desk.
- Watering plants on a weekly basis.
Other duties relating to general administration when detailed by the HR Manager
