Therapies Admin Team Leader

Within therapies we have an opportunity for a B3 Admin team leader to oversee the teams at Pilgrim Hospital Boston and Grantham + District Hospital. The job involves supporting therapy services to maintain Physiotherapy and Occupational Therapy departments out puts across the two sites. The job role comprises training of other staff, supporting staff in their day to day admin duties and ensuring management of waiting lists and department statistics.
To provide training to new admin and clinical staff on the Clinical Manager system and review the quality of Clinical Manager data
To provide line management of OT and Physio Admin/receptionist staff at Pilgrim Hospital and Grantham + District Hospital
To provide confidential secretarial support as required to the site lead Physiotherapist and Occupational Therapist. This will include word processing of documents and correspondence, filing, arranging meetings, and liaising with individuals both internal and external to the Trust.

Louth Hospital is set on the edge of the Wolds and serves the communities of Louth and the local area. It provides a number of services, including an outpatient department, diagnostic and surgical procedures, as well as a surgical ward.

1. To act as line manager and provide supervision and appraisal for receptionist/admin staff at Pilgrim and Grantham + District hospitals and monitor their day to day performance. To provide induction, support and training where required.
2. To manage effective rostering and annual leave requests to maintain an effective service in liaison with Team Lead Physiotherapist. To escalate any issues to site lead Physiotherapist as required.
3. To monitor the quality of Clinical Manager data, complete and distribute electronic performance data returns and ensure errors are corrected in a timely manner
4. To provide a secretarial service to the Site Lead Physiotherapist and Head Occupational Therapist.
6. To arrange meetings, ensuring booking of venues, preparation of agendas with supporting documentation and notifying attendees
7. To ensure clear oral and written communication skills are exercised in response to correspondence, personal and telephone enquiries using own initiative as required to answer enquiries or ensuring that they are passed to the most appropriate person.
8. To co-ordinate the departmental stationery ordering process ensuring the cost efficient usage of stationery within the department at all times; managing stationery stock levels and co-ordinating the ordering process electronically.
9. To attend meetings to record minutes and notes as required. To ensure appropriate action is initiated following the meetings.
10. In liaison with Aquatic Therapy Lead monitor and record the use of Hydrotherapy Pool by external groups and ensure a timely monthly request is made to Finance for invoicing (Grantham + District Hospital only)
11. To maintain Staff Address List and Payroll Number List for all staff in Directorate and keep Switchboard up to date with this information to enable contact when certain staff who are ‘on-call’
12. To co-ordinate allocation of lockers on commencement of new starters as required
13. To provide cover for Data Clerk/Receptionists when required, answering queries from patients regarding appointments for Physiotherapy and Occupational Therapy Outpatient Departments
14. Any other duties commensurate with the grade as deemed appropriate by senior management.
