Club Administrator

Club administrators (CA) will oversee and drive increased levels of performance and effectiveness throughout all areas of the club’s operations. Working with the operations manager and chairman they will promote a strong understanding of how each department can support each other. (CA) needs to be an organised person who thrives in a position of leadership and enjoys building relationships with others.
- Must have the interpersonal skills necessary to work well with coaches in their programme as well as school leaders and have the empathy to address the concerns of parents.
- Need to take pride in the behind-the-scenes work, which puts the coaching teams in a position to succeed. A lion-share of the role is nurturing and maintaining relationships with their coaching team and clients to increase loyalty and consistency.
**Club Administrator Foundational Duties**
2. Make sure all school and club term-time courses are uploaded onto the booking system and are live on the website two weeks before the end of the term.
3. Holiday camps are uploaded and are live on the website six months in advance. Double check all online information before it goes live to avoid errors.
5. Start to schedule coaches for the next term, identify and fill gaps. The expectation is that coaches must be scheduled for the next term before the end of the current term.
At the point of scheduling coaches make sure they have:
a) Signed their contract, the copy is electronically filed and that they understand the penalties for cancelling late;
b) Provide coaches with the performance standards (talk them through it);
c) Check coaches have completed their DBS and it is on the update service;
d) Check that coaches are signed up to start the online safeguarding and first aid courses.
e) Make sure the coaches understand the importance of taking the register at each session and updating it;
f) Make sure the coaches understand the invoicing procedure;
g) Check coaches have the correct school address, know what time in advance they need to turn up to prepare and understand that they get paid only for their teaching time;
h) Be explicit with regard to who the lead coach is and who the assistant coach is;
i) Check that coaches are aware of the class collection/dismissal procedures and any parking restrictions;
j) Ensure that every coach has completed our class behaviour management training.
6. At the start of the new term, call all club programme children who have not yet re-signed onto their club course for the term and encourage them to continue.
8. Send the school all class registers, the coach’s DBS, coach’s name and contact number. Ensure new coaches take photographic ID to their first class.
9. Send weekly updated class registers to the school and the coach.
10. Check in weekly with the coach to elicit/provide feedback and ensure there are no children attending classes that are not on the register. Make sure the coach knows to add new children’s name and parents contact details to the register so that they can be contacted for payment.
11. Work with your coaching team to constantly offer free trials to children on school classes to join a club class. Our aim is to get a termly conversion rate of 10% from schools to club classes.
12. Work with your coaching team to get a hotlist of prospective ‘clients’ from every holiday camp attendee that you then follow up to get these children to sign up for club tennis, or gymnastics class.
13. Check in with your school contact halfway through the term to elicit feedback from them about how the class is going. Pass this feedback onto the coaching team and address any issues if required.
14. Before half-term, re-market all schools and club classes that are not full. Get the school to re-market classes and market club classes to school and camp attendees.
16. Keep an accurate coaching schedule of all classes.
17. Work from the club master document and keep this updated at all times.
**Further Responsibilities**
1. Attend the Monday weekly leadership meeting either on site, or virtually.
2. Attend one weekly 30-minute on-site triad collaborative session with two other club leaders.
3. Provide monthly performance updates on the club’s departments at the monthly performance review meeting with the Chairman.
**For holiday camps**:
a) Schedule coaches, build up a loyal and consistent team;
b) Co-ordinate with the camp director to ensure all equipment is onsite, accurate equipment records are kept and equipment is looked after;
c) Prepare the camp box with the camp directors to ensure all policies and procedures are in place to meet Ofsted requirements;

f) Print all camp registers on the Friday before camp and forward these to the camp director;
