To provide a comprehensive booking service for all newly pregnant women referred to NBT centralised booking team. The administrator will be responsible for the day to day running of the centralised booking service for women requiring access to antenatal services within NBT community midwifery. Requests will be prioritised ensuring that appointments are scheduled according to gestation and following NBT guidance and policy.
The main aspects of the job will be coordinating, booking and rearranging women’s appointments, obtaining information, creating booking packs and liaison with community midwifery teams.

An exciting opportunity has arisen for a self-motivated, enthusiastic individual to join our Centralised Booking Service in Women & Children's Health.

The post will involve working within a busy team providing a comprehensive service for all newly pregnant women referred to NBT. Responsibilities will include the day to day running of the centralised booking service for women requiring access to antenatal services. You will coordinate booking appointments, using clinical systems and support the community midwifery teams to ensure a positive patient experience.

We are looking for an individual with excellent communication skills, both face to face and on the telephone. The ability to deal with varied administrative duties, IT systems and changing priorities is essential.

The hours of the post are 37.5 hours per week and will include a mixture of day and evening shifts. (various shifts to cover; Mon-Fri 09.00 - 17.00)

The centralised booking office is a small friendly team located within the women and children's quarter at Southmead hospital.
- Arrange antenatal booking appointments with a full understanding of the pathway for pregnancy and ensure that first available appointment is offered
- Ensure women are aware of relevant paperwork to be completed prior to the appointment
- Change and update appointments as required
- Full electronic registration of women on Trust IT systems and ensure patient details are up to date on Careflow and maternity data set Euro King.
- Liaise with line manager and speciality leads regarding problems with booking women
- Ensure women have access to patient information and NBT website
- Diligent and accurate processing of women’s records and appointment
- Follow administrative pathways in accordance with agreed processes
- Proactive and pre-emptive approach to appointment scheduling to maximise clinic utilisation
- Contribute to own personal development and assist with learning and development activities
- Preparing booking packs for Midwives
- Ordering and stock control for relevant literature
- To undertake any such duties commensurate with the grading of the post and the post holder should treat this job outline as flexible as it could develop in result of service developments
