**Purpose of Job**:

- To assist the School Business Manager (SBM) with the provision of financial and administrative support
- To ensure that the school finance systems are maintained and up to date, in order to facilitate financial reporting to the Governors, external agencies and internal budget holders

**Income**
- Prepare invoices and receive income for room hire and other external income
- Manage trip income and expenditure and transfer cover and admin fees
- Manage the ParentPay system. Add and remove charges as appropriate, report weekly to trip holders. Issue activation letters to all new students. Issue refunds as appropriate. Process ParentPay income
- Manage all income and bank appropriately
- Maintain gift aid log and prepare end of year claim
- Receive income from square, monitor use and log to relevant department

**Expenditure**
- Process orders, invoices, credit notes
- Process petty cash claims, maintain records and balance account
- Reimburse staff for departmental expenses and mileage claims
- Process salary claims
- Reconcile monthly credit card spend and reallocate to departments
- Prepare all cheques and BACS run for authorisation
- Purchase instruments through the Assisted Purchase Scheme, liaise with parents and ensure matched income
- Purchase foreign currency when required for trips

**Financial management**
- Monitor and reconcile bank statements for all accounts and keep supporting documents up to date
- Provide department heads with budget information
- Assist in monthly vat returns
- Liaise with auditors at end of year and perform year end procedures
- Input yearly budget
- Maintain records of 16-19 Bursary spend and provide reimbursement where required
- Journal between departments for photocopying charges and trip expenditure
- Enter monthly payroll to relevant coding
- Keep a record of Pound a Day expenditure and transfer funds accordingly
- Record all income/expenditure from all accounts in preparation for monthly reconciliation
- Provide floats where required

**Other duties**
- Attend Health and Safety meetings
- Attend SSEC meetings and act as liaison for other staff members
- Provide financial administrative support to the Staff Workload and Well-Being Committee through:

- Collection and management of the Staff Common Room Fund
- Purchasing gifts and cards from the Staff Common Room Fund for staff

Pay: £29,777.00-£31,364.00 per year
