An exciting opportunity has arisen for a Band 4 administrator to work within the Property team managing all aspects of parking for our patients, visitors and staff as well as providing general administrative support to the Property team. The post is full time, 37.5 hours per week, Monday-Friday.

You will play an integral role in improving the patient experience with regards to parking, ensuring that this is as comfortable and easy as possible.
The position provides the opportunity to work within a very supportive and welcoming team and to further develop your knowledge and skills.

The postholder works as part of the Property team under the supervision of the Operations Manager, and performs the following functions:

- To be responsible for the trust wide coordination, issuing and dealing with queries for accessible parking and dispensation notices.
- To act as the first point of contact for our disabled patients and their carers regarding parking.
- To act as the first point of contact for staff, visitors and contractors in matters relating to parking
- To be responsible for the day-to-day management of parking staff,

visitors and contractors including the issuing of permits and liaising with payroll
- To provide general administrative support to the Property team

- Respond to sensitive and contentious enquiries and take appropriate action.
- Deal with sensitive, difficult, and contentious issues relating to disabled parking and dispensation notices in an appropriate manner, reporting any problems to the line manager.
- Ensure effective communications with colleagues, patients, carers and visitors.
- Ensure any problems are dealt with in a professional manner.
- Assist in the monitoring of compliance with regulations by conducting regular audits.
- Conduct surveys and audits.
- Collect and compile weekly, monthly and annual activity and produce reports both manually and electronically.
- Establish and maintain manual and electronic filing systems.
- Use the UCLH patient record system [EPIC] to check patient information regarding appointments and other service requirements.
- Conduct research of other NHS and other institutions operational processes and procedures including benchmarking.
- Collating monthly reports on staff parking in conjunction with the Finance team
- Provide general administration support to the Property Team
- Mange and prioritise own workload.
- Use own initiative when reviewing situations in relation to disability issues and procedures.
- Be responsible for the supply and secure storage of dispensation books.
- Ensure all patients are treated with respect and assisted in any way to ensure their experience is as comfortable as possible.
- Support and adapt to changes that are implemented to improve services provided by the Trust.
- Undertake any other reasonable duties as requested, this may include responsibilities not normally covered on a day-to-day basis
