They will oversee the smooth operation of the reception team, including managing holidays, rotas and ensuring standards of service are kept high.

They will be based in the reception areas and should foster our open and caring culture within the team and with patients, be approachable and empathetic in dealing with issues of staff wellbeing.

They must be diplomatic and empathetic and keen to develop their own role. They will serve as a conduit for communication between the reception team and the rest of the practice, attending meetings and representing the interests of their colleagues.

Organisation skills are a must in managing staff rotas and clear communication is essential.

**Primary Responsiblities**

The following are the core responsibilities of the Reception Manager. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The Administration/Office/Reception Manager is responsible for:

- Overseeing the administration and support operations of the practice, ensuring staff achieve their primary responsibilities
- Line managing all reception staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training
- Completing reception staff appraisals as required
- Identifying and delivering team training where required
- Compiling reception staff rotas
- Reviewing and updating all reception policies and procedures as required
- Support the management team in the compilation of practice reports and the practice development plan
- Developing, implementing and embedding efficient office processes and procedures to adhere to legislation
- Coordinating the provision of temporary administrative and reception staff ensuring sufficient cover is provided for periods of leave and other staff absences
- Updating the appointment system to reflect leave and other approved absences
- Providing initial guidance and advice to patients who wish to verbally complain
- Acting as building fire marshal, ensuring evacuation lists are current and that the visitors’ log is used appropriately
- Attend Practice meetings, represent the interests of the reception team and effectively communicate with the wider practice team.

In addition to the primary responsibilities, the Administration/Office/Reception Manager may be requested to:

- Deputise for the operations/deputy practice manager during periods of absence
- Partake in audit as directed by the audit lead
- Coordinate and produce meeting agendas and record the minutes of meetings
- Champion continuous improvement, encouraging staff to participate and make suggestions for CI initiatives
- Assist with QOF targets

**Job Types**: Full-time, Part-time
Part-time hours: 20-37.5 per week

**Salary**: £12.94 per hour
