**About the Role**
It’s an exciting time to join the University of Southampton's Design & Print Centre. In this role, you will work as an Administrative Assistant to provide high-quality and flexible administrative services to the team and our customers.
The Design & Print Centre is a multi-function provision, within iSolutions, the University’s IT Service. With clients spanning staff and students at the University and from outside the organisation, the team’s extensive experience and knowledge of design services and printed products aim to add value and deliver an excellent customer experience.
**What you’ll do**
**Internal Administration**
- Liaising with the design studio and production staff in relation to scheduling work
- Manage office supplies and equipment, including stationery, keys, furniture, telephony, passes etc.
- Assisting colleagues as necessary to maintain the flow of production, including:
- Assisting with fulfilment jobs such as envelope inserting
**External Engagement**
- Dealing with print suppliers in obtaining quotes for items or finishing requirements that the Print Centre cannot produce or complete in-house.
- Communicate and liaise with internal and external customers, usually through established routine connections (e.g., regular suppliers/contractors) to support capturing requirements and updating the progress of jobs/activities as required.
- Update and maintain the internal SharePoint and external website to accurately reflect our services, prices and values.
**Financial Administration**
- Administer Business World financial processes and provide support to management with budget monitoring processes.
- Manage internal recharging processes in consultation with the Finance Business partner.
- Process invoices and orders and raise requisitions, liaising with Finance and working within financial regulations.

- A strong customer experience ethos
- Financial administration/budget monitoring experience
- Ability to prepare and present written and/or verbal information clearly and concisely to staff.
