Immersive Cult is a London-based production company that creates large scale, inventive experiences. We work with a variety of collaborators, designers, costume makers and artists to create elaborate sets, narratives and performances. Administrator & Production Assistant - part time freelance contract -> possibility of full-time permanent
**Purpose of Role**
- To provide the Company’s directors with high-quality day-to-day support.
- To assist the General Manager in ensuring the proper running of all the Company’s operational systems including all financial, administrative, and legal processes.
- To assist the production department of any project to deliver immersive events and associated activities to the highest possible standard.
ADMINISTRATOR
**Responsibilities**
- Managing the directors’ diaries through proactive time management and prioritisation, managing time zones where applicable.
- Arranging meetings internally and externally.
- Booking travel, accommodation, and organising visas for the Company’s team as required.
- Assisting the Company’s directors in personal matters, including personal finance issues.
- Assisting Garrett Moore in his external roles and with the management of his second property.
- Setting agendas, taking detailed notes and minutes, and circulating paperwork to the relevant parties.
- Filing invoices, contracts, and other necessary paperwork digitally.
- Producing invoices and supplier documents based on Company templates.
- Managing both core and project payments, keeping track of standing orders, overheads, and other recurring expenses.
- Overseeing basic financial processes like reconciling transactions on Quickbooks, supplying floats to project collaborators, and filing expenses.
- Assisting the Company’s accountant with any enquiries pertaining to payroll, VAT returns, and corporation tax returns.
- Assisting the General Manager with Company cash flow reports, and profit and loss calculations.
- Overseeing the management of the Company’s storage location(s), including rent payments.
- Administering NDAs, collating client briefs, and assisting the General Manager with the drafting and issuing of contracts.
- Ad-hoc research and administrative tasks as requested by the directors or the General Manager.
PRODUCTION ASSISTANT
**Responsibilities**
- Assisting as required during any of the Company’s events.
- Assisting the General Manager with guest and talent management.
- Managing RSVP lists.
- Coordinating transport and accommodation.
- Other administrative duties as required on event days.
Miscellaneous
- Acting always as an ambassador for the Company, ensuring exceptional levels of presentation and professionalism.
QUALIFICATIONS
**Required**
- An interest in immersive events and luxury experiences.
- Project and personal management skills.
- Utmost discretion and confidentiality.
- Exceptional attention to detail and communication skills.
- Administrative or PA experience within a busy working environment.
- Proficient with Word, Excel, QuickBooks, and Google Drive.
**Job Types**: Temporary contract, Temp to perm
