**Job description**:
This is an interesting opportunity for an individual with experience to join our team as a Personal Assistant to the Major Projects and Programmes (MPP) Director.

The role involves demonstrating strong communication skills (both written and verbal) with the ability to work in an organised way, effectively managing the workload to enable the provision of effective administrative support.

**Person specification**:
**A Personal and Administrative Assistant at DIO will**:

- Undertake the provision of secretarial and administrative service including minute taking, management of actions, distribution of papers and drafting communications at all levels.
- Hold the management of the Director's mailbox, ensuring that communication is prioritised and brought to the attention of the director at the earliest opportunity.
- Have day to day management of a busy and complex diary including telephone liaison, such as prioritising, scheduling and cancelling appointments as necessary and making sure it is up to date at all times.
- Discuss any diary conflicts and delegation opportunities with director.
- Arrange and facilitate meetings as required, ensuring key stakeholders are available, carrying out all administrative functions of booking attendees onto site, arranging passes and collection of individuals as required.
- Arrange all travel and accommodation as required, drafting itineraries where Director is travelling to other offices or sites.
- Ensure stakeholders and customers encounter a professional office, supporting line manager and team in maintaining information and contacts.
- Support webinars and facilitating wider team event requirements.

**Desirable Experience & Skills**
- Proven experience of working in an office environment, supporting senior staff.
