Job description:


Are you familiar with a Secretariat role? Do you like working across multiple departments? We have a post that would interest you The Business Coordination Officer (BCO) provides a vital support function to the Regional Head through coordination of key business deliverables to support priorities and regional outputs.

The BCO works collaboratively with the Regional Head, engaging on their behalf with colleagues across the SE Region and wider DIO to facilitate a joined-up team focused on a high-quality approach to delivery.

The BCO is empowered to act on behalf of the Regional Head and is required to be self-motivated and proactive.


The role requires utilisation of MS Office, strong communication skills, secretariat functions and the ability to compile, distribute and monitor a variety of reports including programmes, KPIs and meeting records.

The role is varied, fast paced and supports vital Regional business.

It will lead on organisational actions such as workshops, engagement events and communications with DIO, Customer, Industry Partners, and other stakeholders.

The role benefits from Hybrid working.

However, it is expected that there will be a significant need to engage directly, visit sites and prioritise attendance across the SE Region.

Person specification:

Main responsibilities will include:

  • Support team and line manager in delivering departmental goals.
  • Management of Regional Group Mailbox. Triage incoming requests to ensure that deadlines are met and business deliverables are achieved.
  • Inform Regional Head on issues, actions and matters arising including escalation of atrisk deliverables.
  • Coordination of trackers, milestone deliverables and reporting governance for regional outputs. Supporting the 5 key departments with management of submissions.
  • Maintenance and regular update of supporting documentation to ensure accurate monitoring and progression of issues and tasks; support senior leaders' progression of regional delivery activities.
  • Provide secretariat support to Senior SERP meetings (including production of presentations, minutes and actions).
  • Promote a positive, collaborative and proactive working environment within the team, and with other teams across DIO, MOD and external stakeholders.
  • Be responsible for the planning, coordination, and delivery of an engagement programme which includes visits for the senior leadership and subsequent visit tracker.
  • Manage the planning and delivery of annual 1* SERP events, workshops and other engagements.

Desirable Experience & Skills

  • Experience or understanding of the role of secretariat support.
  • Experience of managing and monitoring work via trackers.
