**Job Scope**

We are currently looking for a Finance Administrator to join our friendly and supportive practice team. The Finance Administrator is responsible for maintaining financial records, day to day bookkeeping and data entry, payment of accounts, banking duties and preparing payroll.

**Main responsibilities**

To provide high-quality finance support to the Practice to include:
a. Review all income and expenditure statements, identifying any inaccuracies and rectifying such issues, informing the Practice Manager as required,

b. Generating invoices,

c. Ensure invoices are paid within the given time frame,

d. Responsible for weekly and quarterly petty cash checks,

e. Reviewing Practice income/spend for cost saving/income generating ideas,

f. Creation of claims submissions for rates, water, clinical waste on CQRS,

g. Submitting monthly claims for retainer payments, annual reimbursement CQC claim and any long-term GP leave,

h. Cash up the dispensary till weekly,

i. Creation of monthly financial reports for Partners meeting,

j. Present financial forecasts to Partners as and when required,

k. Ensure that effective financial controls are in place and processes are adhered to

l. Involvement in the calculation of financial implications of contract and legislation changes affecting the organisation,

m. Maintain an effective working relationship with the ICB, ensuring the organisation receives a proportionate and equitable allocation of resources,

n. Act as the primary point of contact for finance-related matters with NHS E, the ICB and the organisations accountant,

o. Reconciling all payments received / made from the Practice account (x2) and petty cash account on Xero,

p. Completing the quarterly VAT paperwork for the accountant,

q. Preparation of payroll (calculating overtime and expenses payments),

r. Partake in audit as requested by the audit lead,

s. Attend any meetings pertinent to the role of Finance Administrator,

t. To stay up to date with required mandatory training,

The above list is not exhaustive, all personnel should be prepared to accept additional, or surrender existing duties, to enable the efficient running of the practice.

- In the performance of the duties outlined, the post-holder will have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to business information relating to the practice. All such information, from any source, is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with Practice policies and procedures.

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, to include:

- Using personal security systems within the workplace according to practice guidelines
