This post will be based at our office in Birmingham and is responsible for the administration of Relate counselling services and serivces delivered under contract.

The role is 37 hours per week but will require some flexibility in working hours to meet service needs, including cover for annual leave and sickness. It will also involve working at other centres/locations from time to time to provide cover as part of the support team and attend relevant meetings and this will necessitate some travelling for which expenses can be claimed.

**KEY TASKS & RESPONSIBILITES**

**Service and Contract Administration**
- To be responsible for the administration of counselling services delivered under contract, to monitor referrals, book appointments, ensure evaluation is collected and service targets are met as set out in service level agreements
- To accurately setup, input and retrieve data, produce timely and accurate monthly and quarterly monitoring reports and KPI statistics for bursaries, NHS, grants, and other contracts
- To ensure all monitoring and reports are completed and submissions are made on time
- Monitor Relate client waiting times, produce activity reports and provide service delivery updates,

to work as part of the admin team supporting the day-to-day delivery of appointments, ensuring team targets are met and excellent customer service is achieved
- Advise the Service Co-ordinator on relevant issues with appropriate information and recommendations. Attend meetings consistent with the role and contribute to team projects
- To provide administrative support to the counselling team, service Co-ordinator and management team

**Finance**
- To carry out day to day financial duties in line with procedures, including recording client contributions, reconciling transactions from Worldpay, preparing and collating financial information as required and to ensure all client payments are received in advance of counselling
- To promote and manage room hire and contribute to the day-to-day housekeeping of premises

**Other**
- Contribute to effective communication both internally and with external bodies and maintain good working relationships with Relate National and other local Relate Centres.

**Essential**

**Qualifications**:

- GSCE/’O’ Level (or equivalent) including English Language and Mathematics.
- NVQ Level 3 in Business Administration or equivalent or working towards.

Experience
- Significant administrative experience in a relevant role
- Experience of using in-house systems and databases.
- Experience of contract monitoring and reporting

Aptitudes
- Ability to lead and motivate a team.
- Excellent interpersonal and communication skills
- A ‘can do’ attitude and a positive approach to change
- Ability to plan ahead, prioritise workload/s and delegate tasks to meet deadlines.
- Good organisational, administrative and ICT skills including proficient in using Excel & MS O365
- Ability to undertake research, gather information and produce clear and concise reports.
- Ability to understand/present numerical information for financial, monitoring, and reporting purposes
- Ability to work both independently and as a member of a small team.
- Ability to develop and sustain professional relationships and partnerships.
- Ability to provide a client centred, confidential service and deal sensitively with the public
- Willingness to work flexibly to meet business needs and travel to different locations.

**Desirable**
- Experience of using NHS MHSDS monitoring systems
- Knowledge of contract monitoring for external providers
- Experience of working in or with the voluntary sector.
