Overseas Visitors Administrator

The post holder acts as the Trust focus for Overseas Visitors, ensuring that maximum overseas visitor income is recovered for the Trust through a mixture of direct patient contact and through the support of other staff within the Trust. The post holder will use their knowledge and expertise to determine the patient’s eligibility for free NHS care.
In order to do this, the Overseas Visitors Officer will be required to interview the patient in order to establish eligibility according to NHS England Guidance, and then collate detail on any treatment planned or provided, generate final invoices and secure payment.
The post holder will be responsible for the administration processes related to Overseas Visitors - supporting the Overseas Visitors Officer and Overseas Visitors Manager.
- To implement the NHS Charging Regulations, which govern the management of overseas visitors treated at this Trust, as well as procedures relating to overseas visitors' income, and to ensure that they evolve in accordance with current and new legislation.
- The post holder will be responsible for identifying overseas visitors who are not eligible for NHS treatment and maximising overseas patients' income across the Trust. The post holder will be responsible for ensuring that all overseas patient activity is accurately recorded, costed, and billed in a timely manner. This includes generating invoices for all overseas visitors on time and being aware of different charging tariffs.
- Provide advice to staff and patients, ensure the smooth operation of the office and effective internal and external liaising to contribute to the overall success of the department.
- The post holder will be expected to assist in the identification of overseas visitors to the Trust and to determine whether an overseas patient's claim for free NHS treatment is valid based on the most recent guidance on implementing the Overseas Visitor Charging Regulations.
- To support the team in managing the case comprehensively and ensuring that appropriate funds are recovered in a timely manner (upfront) either from the patient, insurance company, or via a reciprocal agreement, and to arrange for the completion of an undertaking to pay form and/or full payment collection whenever possible.
The Oxford University Hospital Overseas Team is in charge of identifying and charging overseas visitors who do not qualify for free NHS care under Department of Health regulations. An opportunity has arisen for an experienced Overseas Patient Officer to join our small team that provides comprehensive, effective, and confidential support to the Overseas Visitors team.
You will oversee all correspondence, processing, and filing for overseas visitor patient casework, as well as ensuring accurate data recording to ensure the correct charging of all overseas patient activity in this varied and interesting role.

- The role will require a high degree of empathy in dealing with sensitive issues, particularly explaining why funding for non-emergency procedures is not available.
- The post holder will be expected to interview patients and deployed to the other hospital sites as needed. You will be required to communicate complex and highly sensitive information to patients and families where English is not their first language and use interpreters where necessary.
