**Weight Management Services Administrator**: 15hours per week

Croydon Health Services NHS Trust, based at Croydon University Hospital has a Nutrition and Dietetics Service (18 dietitians, 2 dietetic assistants, 2 administrators), that is integrated across primary and secondary care and provides a variety of specialist and general services for patients in Croydon. The vision is to deliver patient focused, efficient and effective clinical outcomes within Croydon Community team. The Specialist Weight Management Service sits within Dietetics and has a highly specialist MDT, consisting of Dietitians, Psychologist, physiotherapist and a dietetic assistant. The post holder would provide admin support to this team.

To provide administration cover as required for the T3 weight management service. This involves:
Dealing with appointments or general enquiries either face to face or over the telephone.

Making patient appointments (virtual and face to face), for groups and one to one, and advising and assisting patients regarding their appointment.

Booking interpreters if required.

To answer the telephone and relay messages in a timely and appropriate way. This may involve answering calls from upset, distressed or angry patients and will require finding out the facts of their situation and then using judgement and experience to resolve the problem or refer on to another member of staff.

To provide reception duties, to receive patients and direct them as appropriate, giving assistance if required.

Croydon Health Services NHS Trust provide hospital and community services from a number of community and specialist clinics throughout Croydon. The Trust was formed on 1st August 2010 through the integration of Croydon Community Health Services and Mayday Healthcare NHS Trust. To report directly to the Service Co-ordinator for T3 Weight Management Service.

To type any letters, correspondence or reports as and when required and distribute as requested. This may include minute/agenda taking/audio type which will include medical terminology and other medical phrases. To distribute these reports as required.

To do the necessary administration for the team (e.g. dealing with both incoming/outgoing mail) processing and filing referrals received (paper or electronic), general filing, plus photocopying/faxing/scanning as required on a daily basis.

To book meeting rooms as required liaising with all relevant attendees

To input relevant data to make and adjust appointments (e.g. due to cancellation or staff absence), ensuring correct procedures are followed at all times. To be able to check this data for accuracy and to produce routine feedback on waiting lists, numbers of referrals etc.

To retrieve and return medical notes as requested, including any necessary reports from the computerised system.

To be responsible for planning and organising own workload, including participation in new administrative developments (e.g. E Referral System).

To work under own initiative at times without direct supervision.

To demonstrate and train new starters of office procedures.

To provide general advice and direct line access to GPs and other referrers, enabling queries to be answered and information to be given in liaison with dietitians and others

To report any accident /incident involving patient or staff to the operational lead, and complete the appropriate report on Datix in accordance to hospital and departmental policy

Management of stock/resources

To assist with the departmental ordering and deliveries for stock and non-stock items as and when required
