The Community Paediatrics Service consists of Community Paediatricians, nursing staff and a nursery nurse team, all of whom are supported by a centralised administration team.

We currently have a vacancy for an Admin Assistant / Receptionist within our Community Paediatrics Admin Team at Cross Street Clinic, Burton-on-Trent.

You will provide a confidential and efficient administrative support to the Community Paediatric team, providing reception cover when required. Ensuring patient personal details are constantly updated and accurate and that patient records are tracked in accordance with Trust requirements.

**Your main duties will include**:

- Answering and directing phone calls.
- Opening and scanning post.
- Dealing with general enquiries.
- Supporting the room bookings service.
- Using IT systems (i.e. Rio).
- Meeting and greeting visitors, clients and families.
- Provide administrative support to the Community Paediatrics Administrative Team.

You will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post. Excellent interpersonal and communication skills are essential with an ability to deal with highly sensitive and challenging situations, communicating to both internal and external service users.

You will need to be self-motivated, able to manage your working time effectively, able to multi-task and have excellent communication skills. You will also have a good level of education (including English and Maths), relevant typing or word processing experience and previous experience of a customer service role.

The post holder will provide an efficient administrative support to the team.
- Preparing letters for external posting (letters in envelopes, franking)
- Uploading paper documents onto the Rio clinical system.
- Provide an efficient reception service for patients and visitors
- To prepare paperwork/information for health promotion events including campaigns and service promotion within a variety of mediums, particularly utilising virtual platforms such as websites and social media.
- Making bookings and cancellations e.g. training places, rooms and interpreters.
- Receive, sort and distribute internal and external mail.
- Monitoring of an individual or team inbox and sign post accordingly
- To deal professionally and promptly with telephone enquiries, taking and processing messages accurately and adhering to relevant policies and procedures.
- Dealing with patient/public enquires about services - liaising with professionals where required and escalate as appropriate.
- Typing letters and reports relevant to banding.
- Providing cover for other administrative colleagues during staff absence (including Reception cover).
- Maintain an effective office support system including filing, photocopying, faxing, scanning and reception duties on behalf of the Paediatric Clinicians.
- Ensure patient personal details are constantly updated and accurate and that patient records are tracked in accordance with Trust requirements.
