Reports to Group Chief Operating Officer and Chief Executive Officer of Trafalgar Theatres

Trafalgar Entertainment is a live entertainment business and home to Trafalgar Venues (including Trafalgar Theatre, London, a portfolio of 12 regional UK venues, and Theatre Royal, Sydney), Trafalgar Theatre Productions, Jonathan Church Theatre Productions, Trafalgar Releasing, Trafalgar Education (including Stagecoach Performing Arts and Helen O’Grady Drama Academy), Trafalgar Tickets (including London Theatre Direct), Stagedoor App and Trafalgar Cinemas (including Chiswick Cinema).

The PA to the Group Chief Operating Officer & CEO Trafalgar Theatres will be responsible for all the planning, organisational and administrative requirements of the Group COO. In addition, there is the opportunity to own and deliver projects that fall within the jurisdiction of the Group COO. The job holder will also provide work closely and ensure co-ordination with Assistant PA based in Woking as well as the PA to CEO.

**Key responsibilities**:

- Provide general admin support to Group Chief Operating Officer (COO) & CEO Trafalgar Theatres, ensuring papers are prepared and reviewed in advance of meetings.
- Compile and manage a travel directory of suppliers, accounts, and approve any proposed travel plans with Assistant PA.
- Management and oversight of diary, meetings and 1-2-1s for Group COO & CEO Trafalgar Theatres direct reports.
- Pro-actively manage the week ahead commitments on behalf of Group COO & CEO Trafalgar Theatres, including notes and transcripts, action points and summary of meeting purpose.
- Meeting preparation and following up on actions/tasks delegated to Group COO & CEO Trafalgar Theatres direct reports and others.
- Attendance and note taking at key meetings at the request of the Group COO & CEO Trafalgar Theatres Shareholder and partner liaison and support where appropriate.
- Preparation of communication, drafting, reviewing and preparation of Group COO & CEO Trafalgar Theatres reports and other documentation.
- Assist in any acquisition, project and/or due diligence process.
- Personal Admin for the Group COO if required.
- Liaison with Executive PA’s, Board Members and Group COO’s direct reports
- Ad-hoc admin for Group CFO and London based direct reports if required.

**Experience & skills required**:

- High energy, initiative, and experience in an administrative role.
- Experience working in a fast-paced environment with an agile approach to change.
- Excellent communication and collaboration skills.
- The ability to think independently and creatively, coming up with solutions that ensure the Group COO’s office is well managed.
- High levels of attention to detail with a naturally structured approach.
- Experience in working in founder-led businesses and ability to manage a variety of different stakeholders is helpful.
- Ideally some prior involvement or awareness of corporate activities, including shareholder interaction, acquisitions, and diligence processes.
