**Calling all team-based administrators / Receptionists**
**We are looking for administrators to help the trust keep the patient experience as smooth as possible.**
The University Hospital Southampton NHS Foundation Trust provides services to 1.9 million people living in Southampton and south Hampshire, while also providing specialist services such as neurosciences, cardiac services, and children's intensive care to the wider area.
The Trust is made up of 6 locations with Southampton General Hospital being the largest, running specialist services, emergency, and critical care along with outpatient clinics, diagnostic and treatment work, surgery, research, education and training. This is a large and busy site.

We have new roles for **Administrators / Receptionists** at Southampton General Hospital (Tremona Road, Southampton, SO16 6YD) & Royal South Hants (SO14 0YG) across a number of departments from
- Cancer Care
- Patient Service Centre
- Oncology
- Clinical Genetics
- ENT
- Switchboard
- Urology
- Finance

**_If you are not already on the bank you will need to be able to provide a reference covering a 6-month period of employment within the last 3 years_**.
Dependant on skill set the roles are band 2 or 3, the pay rate is £10.19 or £11.14 an hour respectively.
This role is working within an admin team, supporting the department with administration duties ranging from, but not including all
- Taking telephone enquiries from patients, carers and external agencies in relation to hospital admissions, appointments and general enquiries.
- Reception duties: checking in and out patients for clinics, letting the appropriate team member know of their arrival and provide any required information or paperwork.
- Filling, scanning, and imputing of data into the hospital systems.
- Receiving and process all incoming correspondence, paper and electronic.
- Implement all administrative processes along the patient pathway to ensure the patient’s journey is managed efficiently, smoothly and in accordance with targets and agreed timescales.
- Ensure patient information is maintained and updated on the appropriate patient information system.
- Processing referrals, logging an updating outcome, booking and rescheduling appointments.
- Helping to setting up clinics in liaison with consultants & managing clinic capacity in liaison with consultants.
- Requesting and tracking medical records.
- Ordering and maintain stationary/ materials.
- Formatting and editing / typing up patient letters using Alden (inhouse letter system) from audio-dictation, hand-written or word processed sources and printing letters.
**They are looking for someone who**:
- Ideally has a minimum of a year’s admin experience.
- Has a good working knowledge of Microsoft packages (Outlook, Word, Excel and teams).
- Strong customer services skills.
- Strong communication skills, both verbally and written.
- Works well in a busy and demanding environment.
- Strong team player.
- Strong organisational skills and high attention to detail
- Ideally has typing experience, if possible, including copy typist / audio typist experience.
- Hospital systems knowledge would be a strength, however not essential.
