Role Summary

Nova Healthcare Solutions Ltd is a CQC registered organisation that provides remote support to primary healthcare services through workflow management and medicines optimisation.

The Executive Personal Assistant is primarily required to proactively provide support to the Executive Management Team. This varied role will allow the post holder to interact with all departments of the organisation and play a key role in supporting the Executive Management Team whilst ensuring business continuity and excellent customer service through exceptional organisational and communication skills.

The postholder will make themselves available to undertake a variety of duties, including acting as first point of contact for key stakeholder feedback and queries, meeting co-ordination, overseeing the process for new starters and leavers, and diary and task management for the Executive Management Team.

The role is currently fully remote although there may be a requirement to attend occasional in person training days and meetings. Full training is provided.

Administration
- Arrange meetings ensuring that agendas and actions are appropriately circulated in advance.
- Ensure that accurate minutes are taken during meetings and circulated afterwards.
- To maintain and file accurately all data, documents and correspondence required for the operation of the service.
- To ensure any claims for overtime are submitted, and other financial claim forms in line with current procedures.
- To ensure adherence to lone working procedures as required.

Customer care and feedback
- To arrange Initial Meetings with prospective customers and interested parties.
- To liaise with the Finance Team to ensure that quotes, contracts and other relevant information is provided to prospective customers and interested parties within appropriate timescales.
- To send any feedback to the appropriate supervisor to investigate.
- To contribute effectively to delivering a first-class customer focused service.
- To effectively use the computer software provided.
- To follow Nova’s complaint reporting procedures always taking ownership and highlighting any errors made.

Recruitment / Human Resources
- To ensure that applicants are contacted for assessments, invited to interviews and communicated with efficiently at every step of the process.
- To oversee all elements of the induction process ensuring that initial DBS, Right To Work and reference checks have been made, paperwork has been distributed and signed and all information has been provided to applicant before their start date.
- To ensure that the IT Support Officer has the relevant information to set up new starters so that they can complete training on the day that they start work.
- To oversee the leaver process ensuring that all accesses have been removed from practices, data has been removed in line with GDPR and IT access has been revoked.

Service development
- To work as an individual and within a team to contribute towards service improvement and maintaining CQC standards.
- To represent Nova Healthcare Solutions Ltd positively at all times in communication and meetings with professional and external agencies.
- To highlight to your line manager any issues of quality, risk and instances of conflict between Nova Healthcare Solutions Ltd procedures and CQC / client requirements.
- To assess own performance and take accountability for own actions, either directly or under supervision.
- To contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance
- To work effectively with individuals in other agencies to meet patients' needs.
- To effectively manage own time, workload and resources.

Miscellaneous
- To carry out efficiently all associated tasks to support the smooth running of the service that may be assigned to you by the Executive Management Team.
- To adhere to Disclosure and Barring Service Checks.

**Salary**: £28,000.00-£32,000.00 per year
